Job Overview
Support daily operations of a 370-unit co-op with seven commercial spaces on Manhattan’s Upper West Side. Provide administrative, compliance, and resident services support to management and the Board, while coordinating with residents, staff, vendors, and advisors to ensure efficient operations and strong resident satisfaction.
Your Responsibilities
- Manage resident services, shareholder relations, community communications, and administrative functions supporting efficient building operations.
- Coordinate shareholder sales, purchases, sublets, transfers, refinances, move-ins/move-outs, occupancy changes, and related documentation.
- Administer BuildingLink, resident databases, building records, MDS accounting software, occupancy records, and electronic access control/key fob systems, including credential management and security-related recordkeeping.
- Coordinate vendor relationships, commercial tenant administration, utility billing programs, Spectrum account administration, and building service contracts.
- Coordinate Local Law compliance requirements and administer SCRIE, STAR, Cooperative Tax Abatement, and other regulatory compliance programs.
- Assist in preparing Board packages, annual meeting materials, notices, correspondence, shareholder communications, elections, proxy collection, and meeting documentation.
- Monitor resident concerns, compliance matters, operational challenges, nuisance complaints, and building issues while coordinating timely resolutions.
- Administer collections support, ClickPay inquiries, account reconciliations, invoice processing, AvidXchange workflows, check requests, audit preparation, and budget-related activities.
- Coordinate alteration applications, engineer reviews, permits, contractor compliance, insurance requirements, and project documentation.
- Monitor FirstService Residential Customer Care inquiries, communicate directly with residents and ClickPay regarding billing matters, and maintain amenity program records and annual billing schedules.
- Collaborate with Board members, building staff, residents, consultants, attorneys, accountants, contractors, and vendors to support efficient building operations and community initiatives.
Skills and Qualifications
- 2+ years of residential property management experience in a cooperative, condominium, multifamily, or related housing environment.
- Bachelor’s degree or equivalent combination of education and experience.
- Strong verbal and written communication, customer service, organizational, and administrative skills.
- Experience supporting resident relations, shareholder transactions, compliance programs, and building operations.
- Proficiency with Microsoft Office Suite, BuildingLink, MDS accounting software, AvidXchange, ClickPay, and similar property management platforms.
- Experience reviewing invoices, processing payables, maintaining financial records, and supporting annual audits and budgets.
- Ability to manage multiple priorities, maintain confidentiality, and exercise sound judgment.
- Experience working with New York City cooperative housing communities.
- Ability to work effectively with residents, Board members, coworkers, vendors, and clients in a professional manner.
- High-energy, detail-oriented approach with strong multitasking and prioritization skills.

Compensation:
