Responsibilities

DESCRIPTION:The Associate Registrar, Compliance and Operations provides guidance, direction, and coordination of the department operations. Develops and executes policies and procedures and manages processes related to student records and transfer credit to meet enrollment and retention goals. Oversees all activities related to degree certification, diploma generation and graduation including managing all preparations for the College's graduation events. Provides department leadership in the Registrar's absence.ESSENTIAL FUNCTIONS:1. Supervises records, transfer credit, and graduation staff, including strategic direction, leadership, coaching, mentoring, goal setting, professional development, training, and performance evaluation. 2. Manages daily operations, including student records, enrollment, transcript processing, transfer credit, grade changes, petitions, appeals, and graduation certification.3. Develops, implements, and monitors processes to ensure compliance with college academic policies and procedures, federal/state regulations (i.e., FERPA), and records retention standards. 4. Conducts data analysis and audits of student records to identify and reconcile discrepancies in the student information system and the National Student Clearinghouse for enrollment and degree verifications. 5. Manages and coordinates processes related to transcript processing including evaluation of transcripts, interpretation, and maintenance of course equivalencies, transfer credit rules, and processing of articulation agreements and re-evaluations. 6. Manages the degree conferral process including verifying, maintaining, and processing graduation applications to ensure compliance with state and college graduation requirements. 7. Collaborates with the marketing and communication department and other entities to plan all events and activities related to the graduation ceremonies including graduation fairs, regalia orders and distribution, communications, and recruiting, training, and scheduling of staff and volunteers.8. Coordinates with academic units to process course substitutions and ensures that the transcript articulation tables, and degree audit programming are complete, accurate and automated. Identifies state mandate changes to determine transfer course equivalencies and student milestones.9. Maintains prospective graduation reports, reviews degree audits, and approves final conferral of all academic awards and degrees. 10. Updates, maintains, and reviews registrar and graduation websites to ensure relevancy of information, updated forms, registration forms/links, and deadlines.11. Assists in developing communication strategies for the department that supports the flow of communication from the office to faculty and students. 12. Performs other duties as may be required or assigned.REQUIRED QUALIFICATIONS: 1. Bachelor's degree from a regionally or nationally accredited institution.2. Two years of team lead or supervisory experience.3. Four years of relevant experience in managing student records or similar capacity in an educational institution.DESIRED QUALIFICATIONS:1. Master's degree from a regionally or nationally accredited institution.2. Experience working with a student information system such as PeopleSoft or Banner. 3. Experience in event planning, such as graduations. KNOWLEDGE, SKILLS & ABILITIES:1. Knowledge of Florida policies regarding graduation requirements and statutes governing community colleges, and governing board rules.2. Ability to maintain confidentiality and release of student records in compliance with the Family Education Rights and Privacy Act (FERPA).3. Excellent computer skills, including PeopleSoft, Adobe, Microsoft Office 365 (Outlook, Excel, Word) and the ability to become proficient with Teams/Zoom.4. Ability to take initiative in effectively leading and developing employees to achieve peak performance goals. 5. Ability to manage multiple responsibilities simultaneously and meet deadlines.6. Excellent customer service skills.7. Excellent verbal, written, presentation, and interpersonal communication skills.8. Excellent problem-solving and analytical skills, as well as critical thinking ability.9. Ability to exercise independent judgment and discretion, and work efficiently, accurately, and with minimal supervision.10. Ability to exhibit a professional, courteous demeanor.11. Committed to working in a multicultural environment. WORK ENVIRONMENT and SPECIAL CONSIDERATIONS:1. Works in an office environment.2. May work flexible hours during peak periods, which may include occasional evenings, weekends, and during college closures.3.
