    The Association Services Specialist provides responsive administrative and operational support to Pique and multiple client organizations. The role coordinates meetings and events, maintains records, responds to inquiries, updates websites, and assists with client communications. It is well suited to someone who is organized, thoughtful, comfortable working independently, and able to move among client priorities while maintaining accuracy, confidentiality, and excellent service.

    Key Responsibilities

    • Coordinate virtual and in-person board, committee, membership, and client meetings.
    • Prepare and distribute agendas, meeting materials, minutes, and follow-up communications.
    • Assist with planning, delivering, and evaluating conferences and other client events.
    • Manage registrations, membership records, renewals, contact lists, databases, and historical files.
    • Respond professionally to client, member, vendor, and public inquiries by email, phone, and video meeting.
    • Update client websites and support email and other routine digital communications.
    • Coordinate with board and committee members, speakers, sponsors, vendors, venues, and partner organizations.
    • Track tasks, deadlines, and client expectations; communicate progress and potential issues promptly.
    • Complete work within established budgets and document processes that improve efficiency and consistency.

    Required Qualifications

    • Strong organizational skills, accuracy, and close attention to detail.
    • Clear, professional written and verbal communication and a client-service mindset.
    • Ability to work independently from home while collaborating effectively with a small team.
    • Ability to prioritize work and manage deadlines across multiple clients and projects.
    • Experience in administrative support, customer service, association or nonprofit operations, or event support.
    • Proficiency with Microsoft 365 and comfort learning project-management systems, databases, and website platforms.
    • Sound judgment and the ability to handle confidential information appropriately.
    • Reliable internet access and availability during the agreed weekday work schedule.

    Preferred Qualifications

    The following experience is helpful, but not required:

    • Association management, nonprofit operations, or support for boards and committees.
    • Conference or event planning.
    • WordPress or another website content-management system.
    • Social media content creation, scheduling, or account support.
    • Graphic design or production of simple branded materials using Canva, or similar tools.
    • Marketing, email campaigns, membership outreach, or audience engagement.

    Work Arrangement and Travel

    This is a work-from-home position scheduled for 20 hours per week, generally four hours each weekday. The exact daily schedule will be established with a designated manager. Attendance at one to three in-person client conferences, or events each year is required. Event work may involve local or overnight travel and occasional evening or weekend hours. Approved business travel expenses will be reimbursed in accordance with Pique policy.

    Physical and Work Environment

    The role primarily involves computer-based work and frequent electronic communication. Event duties may occasionally require moving materials weighing up to 20 pounds.
