QUALIFICATIONS AND SKILLS:

Education: Associate's degree required; bachelor's degree in

Sports Management, Business Administration, or a related field

preferred.

Experience: Minimum of 2 to 3 years of office management or

administrative experience, ideally within an educational or athletic

setting.

Technical Skills: High proficiency in Microsoft Office (Excel, Word),

Google Workspace, and specialized school management software or

athletic scheduling platforms.

Compliance Knowledge: Familiarity with state athletic association

rules (e.g., OHSAA in Ohio, CIF, etc.) and understanding of student

privacy laws (FERPA).

Soft Skills: Exceptional organizational abilities, capacity to manage

sensitive and confidential information, and strong communication skills

to de-escalate parent or visitor concerns.

JOB DESCRIPTION:

Scheduling & Logistics: Coordinate master athletic calendars, schedule

game officials/umpires, and arrange transportation for away games.

Student-Athlete Compliance: Organize, review, and maintain all

required athlete participation paperwork, including physical forms,

insurance records, and emergency contacts.

Scholastic Eligibility: Monitor student-athletes'' academic performance

to verify school attendance requirements and grade-period eligibility.

Coach Onboarding & HR: Assist the Athletic Director in hiring and

onboarding coaches, including tracking compliance to ensure all required

certifications (e.g., CPR, Concussion Training, Fundamentals of Coaching)

are active before student contact.

Financial Management: Process purchase orders, handle ticket sales

inventories, manage athletic department budgets, and prepare event

reconciliation and game reports.

Communication & Public Relations: Serve as the main point of

contact for parents, students, vendors, and other schools. Maintain the

athletic website, publish team rosters, and create game programs.

Event Coordination: Assist with organizing special programs such

as team photo days, awards banquets, and seasonal sports registrations.

COMPLIANCE TASKS:

Title IX data

Verifying student transfer eligibility

Managing digital rosters

Supporting signing days and alumni events.

Manage incident logs

Facility Rentals

Inventory Audits

Gate Receipts & Paying Sports Officials.
