Job Summary:

Washington is seeking a positive leader who will help our school achieve the mission of creating joy, empowering students to become ever better people and for all students to achieve at high levels. This position serves as the Attendance & Finance Secretary at our middle school. This position represents the school in communicating information, scheduling, problem solving, cash handling, record keeping, and general secretarial work. The Attendance & Finance Secretary records and manages student learning data, attendance and is responsible for office bookkeeping and other related work. This position is eight (8) hours per day and follows the school calendar with breaks for summer, winter and spring (approximately 10 months per year). Our secretary works two weeks prior to the start of the school term and one week after the last student day for student attendance

Essential Job Functions:

Serves as receptionist, greets students, staff and visitors to the building

Demonstrates the ability to develop effective working relationships with students, staff and the school community, including but not limited to being empathic and showing patience with parents, students, and staff.

Makes and receives telephone calls, takes messages, routes calls

Maintains and manages student learning data as reported by staff

Maintains hourly absence/attendance and enter data in Infinite Campus

Prints daily attendance reports and analyzes data using the District's management software

Type, mail and distribute attendance letters, including truancy notifications per principal and SRO

Calls parents regarding absentees and truancy and provides the Department of Human Services personnel with attendance records upon request

Sorts and distributes daily printing for staff and delivery items for the Instructional Services Department

Sorts and distributes all incoming mail on a daily basis.

Assists head secretary with essential job functions as needed

Maintains school records and files for building as per the directions of the administrator

Processes letters, memos, schedules, budgets, and requisitions

Attends in-service training as stipulated by the District

Dispense medication as required per physician's instructions and per district policy and maintains log of all medication dispensed to students

Administer first aid for injuries and attend to illnesses; contact school nurse and/or parents for more severe instances as needed; meet with school nurse and parents involving any special care plans, i.e. diabetic students

Collects assignments and books for students on homebound instruction and for temporary absence from school as per parental/guardian request

Supervises students in the office area, especially those present for disciplinary purposes

Collects all money and school fees from students and teachers

Maintains bookkeeping records for the school

Gather all pertinent information for daily announcements and distribute information to appropriate staff, as well as post on district website

Works closely with the head secretary and Guidance Secretary to create a harmonious and efficiently run office and building

Work closely with coaches and Athletic Director to schedule sports meetings, create roster spreadsheets for every sport, continually check for required athletic paperwork and notify coaches/students/parents of missing paperwork/fees as needed

Attends to the safety and well-being of all students and staff, including but not limited to the use of universal precautions as per blood borne pathogens training

Maintains the District's standards relative to confidentiality of information about students and school related concerns

Uses good judgment in making decisions in accordance with regulations, ordinances, laws, and established District policies

Performs other duties as assigned by the building principal
