The Office Knows Before the Hallways Do

At Lakeside High School, the front office is often the first place a question lands. A parent needs help with attendance. A student is trying to figure out where to go next. A coach needs paperwork. A substitute needs direction. Someone is calling because the school day has already started doing school-day things.

The Attendance/Athletic/School Secretary helps make those moments easier for people. Families count on this role for clear information. Students need someone steady when they come to the office. Staff rely on the person in this position to help the school day keep moving. The work takes accuracy, patience, good judgment, and the ability to stay kind when five things are happening and only two of them were on the calendar. You help protect student information, support athletics, welcome people into the building, and solve the small problems before they become bigger ones. Some days are quiet. Most are not. But people will count on you every day, and that is what makes this role matter.

Terms of Employment and Salary

The hourly rate range for the position, based on the 2025/26 salary matrix, is Min. $23.36 - Max. $30.48. Salary placement will be at Step 1 of the Nine Mile Classified Public Employees Association Collective Bargaining Agreement unless documentation of experience is received per the Collective Bargaining Agreement. Each employee shall accumulate up to twelve (12) days of sick leave per year. An employee employed for less than a full work year shall be entitled to a proportionate part of the sick leave allowance. (Example: An employee working 10 months will receive 10 days of sick leave.) A maximum of three (3) Annual Leave days is provided for all employees based on the employee's scheduled employment hours per day to be used for an absence during work hours, or to be accumulated for the purpose of cash out, as outlined in the Collective Bargaining Agreement.

Employees anticipated to work 630 hours or more per year will be eligible for Benefits through the School Employees Benefits Board (SEBB). Standard benefits include Medical, Dental, Vision, Life Insurance, and Long-Term Disability. Positions anticipated to work 70 hours or more per month for at least 5 months over a 12-month period are eligible for Retirement through the Washington State Department of Retirement Services.

Schedule:

  • 8 hrs. per day (7:00 AM - 3:30 PM) pursuant to the 2026-2027 School Calendar.
  • Follows the 2026-2027 school calendar
  • Long Term Substitute - August 10, 2026 -June 28, 2027

Nature and Scope of Job:

The person in this position supports the daily operation of the Lakeside High School office and helps keep the school day organized, responsive, and welcoming. Primary responsibilities include attendance recording and reporting, support for the Athletic Director, communication with families, student records, and general office support as assigned by the building principal or designee.

This role requires strong secretarial skills, clear communication, sound judgment, and confidentiality. The person in this position works closely with students, staff, families, coaches, substitutes, and visitors while helping maintain a helpful front office environment.

Primary Job Functions

  • Daily and continual recordkeeping of student attendance with daily reports to the Attendance Coordinator and produce and file required court documents with the respective county courthouses per Becca laws.
  • Communicate with parents/guardian, daily/weekly/monthly with student absence information by mail per state requirements.
  • Assist with the creation of social media content for all athletic events and post content to LHS athletic social media site.
  • Create and distribute athletic certificates per sport and season. Update the student database per sports season.
  • Secretarial duties assisting the Athletic Director: copying and filing of athletic paperwork, maintaining eligibility records, and supporting coaches.
  • Assist in coordinating and assist in managing daily office operations, including answering the telephone, greeting visitors, and recording and delivering messages.
  • Assist in promoting a positive public relations image.
  • Maintain confidentiality of all information.
  • Proficient in the use of Microsoft Office Suite, Google Suite, and student data applications.
  • Maintain accurate and current files pertaining to office business.
  • Maintain accurate, up-to-date student information in the electronic student data system. Produce reports from the system as needed.
  • Assist in the maintenance of student records, including discipline, health, and cumulative files.
  • Help in enrolling and withdrawing students/request and forward student records.
  • Create & maintain students' yearly parking pass database
  • Maintain health room/assist with ill/injured students/call parents if needed.
  • Disperse medications to students following established procedures.
  • Produce/file/download various state reports.
  • Assist with the maintenance and operation of the building's office machines (copiers, printers, laminators, phone system, alarm system, bell system, single-point-of-entry doors)
  • Assist office manager with staff Absences/Substitutes: Maintain records of classified and certified absences, monitor substitute calling system, call guest teachers and classified substitutes when system has not filled position. Greet/orientate substitutes as they arrive daily.
  • Maintain communication with the district's schools and administration office.
  • Assist with sorting and distributing mail and packages
  • Other duties as assigned by principal and/or principal's designee

QUALIFICATIONS

Minimum Required Qualifications

  • High School Diploma or Equivalent,

  • Para Educator/Instructional Assistant/Secretarial applicants must provide documentation of a passing grade on:

  • ETS Parapro Assessment (455); or

  • Pearson Paraprofessional Assessment (220) (Available in December 2023) or:

  • The Master Teacher Ins. Paraeducator Online Training Program (65%); or

  • Unofficial Transcript of an Associate of Arts degree; or

  • Have earned seventy-two quarter credits or forty-eight semester credits at an institution of higher education (provide unofficial transcripts) or

  • Completed a registered apprenticeship program.

  • WSP/FBI Clearance

  • Demonstrated aptitude and competence for assigned responsibilities.

  • Ability to work and communicate successfully with students, SLP, teachers, parents and administrators.

  • Physically capable of lifting around 50 pounds, kneeling, bending, extended floor sitting, and rapid transitions.

  • Ability to respond appropriately and rapidly to aggressive and disruptive behaviors.

  • Competent in basic math, reading and communication skills.

  • Ability to maintain confidentiality.
