Service Loaner Coordinator
Empire Toyota is seeking a Service Loaner Coordinator to join our dynamic service team. We’re looking for someone who is passionate about delivering an exceptional guest experience and thrives in a fast‑paced, customer‑focused environment. Your Daily Work Schedule:
• Clearly communicate the loaner vehicle process, including all policies, procedures, payment methods, and contract requirements, ensuring every agreement is fully completed.
• Verify that each client presents a valid driver’s license and insurance card, and ensure copies are made and filed for dealership records.
• Inspect all returned loaner vehicles, documenting and reporting any damage to the guest and dealership management promptly.
• Work collaboratively with service advisors and team members, always prioritizing the customer’s needs and overall experience.
• Reconcile customer bills, process cash or credit card payments, review the fuel agreement with the customer, and record any applicable charges. Close all open invoices accurately and efficiently.
• Address customer concerns using the dealership’s CRM, phone, text, and email, providing timely and appropriate solutions and alternatives.
• Build trust and rapport with every customer, ensuring a positive and professional experience throughout their visit.
• Assist with moving client vehicles and loaner cars as needed to support service department operations.
• File repair orders, parts invoices, rental agreements, and related documents accurately, keeping dealership management informed at all times.
Fleet Management Expectations
• Ensure all loaner vehicles are cleaned, fueled, and ready for customer use at all times.
• Conduct weekly inspections of the loaner fleet to identify and address any required maintenance.
• Verify that all loaner vehicles remain properly inspected, insured, and registered.
• Maintain full accountability of the loaner fleet, documenting any issues and outlining a clear plan for timely repairs or resolution.
