Job Description:

The Huffines Scanning Clerk''s primary responsibility is the effective management of current and archived documentation at the dealership by way of efficient process-oriented scanning. This role will also periodically assist in front desk receptionist responsibilities, which is one of the most visible roles in the dealership and is the key to creating an excellent first and lasting impression for our customers.

Job Responsibilities:

• Scan and upload accounting documents, including deal jackets, invoices, repair orders, contracts, and funding paperwork
• Accurately index and label digital files for quick retrieval and audit readiness
• Verify documents for completeness and accuracy before scanning
• Maintain organization of physical and electronic accounting records
• Support the accounting team with document requests and file retrieval
• Assist with deal posting documentation and ensuring required paperwork is complete
• Ensure compliance with dealership, lender, and manufacturer record-keeping requirements
• Perform periodic audits of scanned files to ensure accuracy and completeness
• Shred or securely dispose of documents per company policy
• Maintain a clean and organized workspace
