As an Automotive Warranty Administrator, you play a critical role in our service department's success. You ensure the dealership receives proper reimbursement for warranty repairs, directly impacting our financial health and operational efficiency. This position requires meticulous attention to detail and a deep understanding of manufacturer policies, contributing to seamless service operations and high customer satisfaction. You are the bridge between our service team and the manufacturers, ensuring every claim is handled accurately and promptly.
Job Duties and Responsibilities
Processes all warranty claims accurately and efficiently, adhering to manufacturer guidelines.
Interprets and applies complex Manufacturer Warranty Policies to validate repair orders and ensure compliance.
Reviews and validates Automotive Repair Orders for proper documentation and eligibility before claim submission.
Utilizes Dealership Management Systems (DMS) to enter, track, and manage all warranty claims.
Submits warranty claims to manufacturers in a timely manner, following all required procedures.
Performs Claim Reconciliation, identifying and resolving discrepancies or rejections from manufacturers.
Communicates effectively with service advisors, technicians, and manufacturers to clarify information and resolve issues.
Applies strong Problem Solving skills to investigate and overturn denied claims, maximizing dealership recovery.
Maintains an organized system for all warranty documentation, ensuring easy retrieval and audit readiness.
Supports overall Automotive Service Operations by ensuring a smooth and compliant warranty process.
Required Qualifications
Education
High school diploma or equivalent.
Experience
Two or more years of experience in automotive warranty administration or a related role within an automotive dealership (Hyundai/Genesis a plus).
Experience working with various manufacturer warranty systems and policies.
Knowledge/Skills
Expertise in Warranty Claim Processing procedures and best practices.
Thorough understanding of diverse Manufacturer Warranty Policies and guidelines.
Exceptional Attention to Detail and organizational skills.
Proficiency in using Dealership Management Systems (DMS), such as CDK, Reynolds & Reynolds, or similar.
Ability to accurately interpret Automotive Repair Orders and technical documentation.
Strong skills in Claim Reconciliation and dispute resolution.
Excellent Communication Skills, both written and verbal, for interacting with internal teams and external manufacturers.
Demonstrated ability in efficient Claim Submission and follow-up.
Familiarity with general Automotive Service Operations and terminology.
Proven Problem Solving abilities to address claim rejections and complex warranty issues.
Physical Requirements/Work Conditions
Works primarily in an office environment.
Sits for extended periods, using a computer and phone.
Performs repetitive motions with hands, wrists, and fingers.
May occasionally lift up to 15 pounds.
