Bank Operations Support Specialist

Summary: Under the direction of the Digital & Bank Operations Manager, the Deposit Operations Support Specialist performs a variety of monitoring and processing tasks essential to the daily operations of the bank's deposit functions. The Specialist also provides comprehensive support for cash management and electronic banking services. This role emphasizes cross-training and collaboration to ensure efficient departmental workflow while delivering superior customer service in compliance with established policies, procedures, regulations, and banking laws, as well as internal risk and compliance standards.

Deposit Operations & Transactional Processing

• Process and balance banking center and internal transactions; reconcile numerous internal accounts
• Assist in the preparation and review of various reports related to deposit operations, identifying and resolving discrepancies.
• Manage ACH file and wire transfer processing, mobile deposit review, and foreign item processing.
• Review and process new orders and complete maintenance for ATM and debit cards
• Perform exception item handling (ex: NSF, stop payments, unposted transactions).
• Support lock box and overdraft protection processes.
• Receive, sort, and distribute incoming mail, documents, and packages to appropriate recipients
• Operate the folder/inserter and postage machine for any outgoing mail

Account Maintenance & Quality Control

• Review deposit account changes for accuracy, ensuring appropriate documentation and compliance with internal controls for items such as name/address changes, account type/title updates, dormant account handling, time deposit renewals, and safe deposit box administration.
• Review and maintain accurate account records and documentation in accordance with internal controls and regulatory standards.
• Ensure all activities are documented and compliant with applicable laws, regulations, and bank policies.

Electronic Services Support

• Support the daily operation, maintenance, and troubleshooting of electronic services including online and mobile banking, remote deposit capture, ACH, wires, sweep services, and text banking.
• Assist the Electronic Banking Specialist in a backup capacity with set-up and ongoing maintenance of electronic and cash management services for both consumer and commercial clients.
• Perform testing for online and mobile banking updates.
• Assist the Electronic Banking Specialist in preparing the monthly cash management account analysis statements
• Assist the Electronic Banking Specialist in performing quarterly reviews of customer ACH and wire limits.
• Monitor account alerts within the BSA/AML software for suspicious online activity and ACH transactions.

Reporting, Documentation & Communication

• Generate and review daily and monthly reports related to deposit and electronic banking operations.
• Identify and resolve operational issues efficiently while working collaboratively in a fast-paced environment.
• Contribute to internal audit preparation and resolution of identified issues.
• Support the development, documentation, and launch of new processes.
• Contribute to the continuous improvement of bank operations by recommending and implementing process enhancements.

Participate in internal and external training and development opportunities as required.

May serve on various cross-functional project teams as assigned.

Knowledge of bank policy, procedure, products and regulations, compliance required.

Education and/or Experience: A high school diploma or General Education Degree (GED) is required. A minimum of one year of related work experience; or equivalent combination of education and experience.
