Position Overview
Oria is seeking a compassionate, organized, and dependable Intake Coordinator to join our remote administrative and patient experience team. As an initial point of contact for prospective patients, you will help individuals understand our services, navigate the intake process, and connect with the appropriate provider.
This position combines administrative support with responsive, patient-centered communication. You will manage incoming inquiries, gather patient information, coordinate initial appointments, and support a smooth transition into care.
Candidates located in the Central Time Zone, aligning with our Texas clinic operations, are preferred. Bilingual English/Spanish candidates are highly encouraged to apply.
Key Responsibilities
New Patient Inquiries: Respond to incoming calls, messages, emails, and referrals professionally and promptly. Provide clear information about Oria's services and the steps needed to begin care.
Intake Coordination: Gather and accurately document patient demographic information, insurance details, requested services, and referral information.
Appointment Scheduling: Schedule and confirm initial appointments based on patient needs, provider availability, and clinic scheduling guidelines.
Patient Follow-Up: Follow up with prospective patients regarding incomplete intake forms, missing information, and scheduling needs.
Insurance Support: Assist with verifying insurance eligibility and benefits, gathering required information, and coordinating with the billing team regarding coverage questions or authorization requirements.
Patient Experience: Help patients navigate the intake process with empathy, patience, and clear communication. Address administrative concerns and refer clinical questions to the appropriate staff.
Documentation: Maintain accurate, organized records in the electronic health record and other approved systems. Document communications and intake progress promptly.
Team Collaboration: Coordinate with providers, clinic staff, and billing personnel to support timely scheduling and effective patient handoffs.
Confidentiality: Protect sensitive patient information and follow HIPAA requirements, Oria policies, and remote-work privacy procedures.
Administrative Support: Assist with electronic paperwork, referrals, document routing, and other administrative tasks as assigned.
Responsibilities may be added, modified, or reassigned at the supervisor's discretion.
Qualifications
High school diploma or equivalent required.
At least one year of administrative, customer service, intake, or scheduling experience, preferably in a healthcare or behavioral health setting.
Strong verbal and written communication skills, including a professional and empathetic phone manner.
Excellent organization, attention to detail, and follow-through.
Ability to manage multiple inquiries and tasks in a busy environment.
Proficiency with Microsoft Office, email, and web-based applications.
Experience with electronic health records or patient scheduling systems preferred.
Familiarity with patient confidentiality and HIPAA practices.
Ability to work independently, remain responsive during scheduled hours, and collaborate effectively with a remote team.
Bilingual proficiency in English and Spanish is strongly preferred but not required.
