PAYROLL SPECIALIST

 

Department: Payroll Division

Reports To: Service Manager

FLSA Status: Non-Exempt

Salary: $45-55k annually + Based on Experience

Employment Status: Full-Time, Monday-Friday, 8:30am-5:00pm

Position Summary:

The Payroll Specialist plays a critical role in delivering exceptional payroll services to Bene-Care clients. This position is responsible for managing the end-to-end payroll lifecycle, ensuring accuracy, timeliness, and compliance with all relevant regulations. The ideal candidate is client-focused, detail-oriented, and thrives in a collaborative, fast-paced environment.

 

Essential Expectations and Responsibilities:

· Serve as a primary point of contact for assigned payroll clients, maintaining proactive and professional communication.

· Gather, validate, and enter payroll data to ensure timely and accurate processing.

· Maintain up-to-date knowledge of federal, state, and local payroll tax regulations; apply changes as needed.

· Troubleshoot and resolve payroll, tax, system, and compliance issues in a timely and effective manner.

· Train clients on the use of payroll software and support ongoing system usage.

· Update and maintain client records in the payroll system, including new hires, deductions, tax updates, etc.

· Collaborate with internal departments, outside of payroll, to support comprehensive client service.

· Assist clients with questions related to HR compliance and basic employment regulations.

· Manage payroll package distribution, including printing, sealing, and mailing.

· Support department initiatives and contribute to special projects as assigned.



Minimum Qualifications (Knowledge, Skills, and Abilities):

· High School diploma or equivalent.

· 1+ years of experience in payroll, preferably with hands-on processing.

· Proficiency in Microsoft Office applications (Excel, Outlook, Word).

· Exceptional attention to detail with strong analytical and research capabilities.

· Professionalism in handling sensitive and confidential information.

· Accurate data entry skills and solid mathematical aptitude.

· Strong time management and organizational skills; ability to work independently or in a team environment.

· Excellent written and verbal communication skills.

 

Preferred Qualifications:

· Bachelor's degree in Accounting, Finance, Business Administration, or related field.

· Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP).

· Experience supporting multi-state payrolls and tax filings.

 

Certification Requirement:

· Fundamental Payroll Certification (FPC) will be required within the first year of employment. The employee will be required to complete the 12-week course and pass the exam. Payment for both the course and the exam will be provided by Bene-Care Payroll, LLC.

Physical Demands:

Primarily office-based with regular computer, phone, and document processing activity. Occasional lifting of light office materials (up to 25 lbs).

This role is based at Bene-Care's office, offering a collaborative workspace with modern tools, adequate lighting, ventilation, and comfortable temperatures.
