Benefits Coordinator
The Benefits Coordinator is responsible for the day-to-day administration of the company's employee benefit programs and serves as a primary resource for employees regarding benefit questions, enrollments, changes, and eligibility. This position ensures benefits are administered accurately and in accordance with company policies, plan documents, and applicable laws and regulations.
The Benefits Coordinator will work closely with the HR Manager, payroll, employees, and benefit providers to maintain accurate benefit records, resolve employee questions, and support the overall HR function. This position will also assist with new hire onboarding, HR recordkeeping, compliance, and cross-training in payroll and other HR processes.
Essential Duties and ResponsibilitiesBenefits Administration
- Administer employee benefit programs, including medical, dental, vision, life insurance, disability, 401(k), and other company-sponsored benefits.
- Serve as the primary point of contact for employees regarding benefit questions and concerns.
- Process benefit enrollments, changes, qualifying life events, and terminations accurately and timely.
- Monitor employee eligibility for benefits and ensure coverage becomes effective in accordance with company policy.
- Assist employees with understanding benefit options, coverage, eligibility, and enrollment procedures.
- Maintain accurate benefit records in the HRIS/payroll system.
- Work with insurance carriers, brokers, and benefit providers to resolve enrollment and coverage issues.
- Reconcile benefit deductions and assist with identifying and correcting discrepancies.
- Assist with annual open enrollment, including employee communications, meetings, materials, and enrollment processing.
- Maintain benefit documentation and ensure required notices and communications are distributed appropriately.
- Assist with 401(k) administration and employee questions regarding the retirement plan.
- Maintain confidentiality of employee benefit and personal information.
New Hire and Employee Support
- Assist with new hire onboarding and benefit enrollment.
- Explain benefit eligibility and enrollment requirements to new employees.
- Ensure new hire benefit elections are completed accurately and within required deadlines.
- Assist employees with HR-related questions and direct more complex issues to the HR Manager when appropriate.
- Support employee changes, transfers, leaves of absence, and terminations as they relate to benefits.
- Help maintain accurate and complete personnel and benefit files.
Payroll Support and Cross-Training
- Cross-train with payroll to develop a working knowledge of payroll processes and procedures.
- Assist with reviewing benefit deductions for accuracy.
- Communicate benefit changes that impact payroll.
- Provide backup payroll support as needed.
- Assist with researching and resolving payroll-related benefit discrepancies.
HR Administration and Compliance
- Maintain accurate employee records and documentation.
- Assist with HR audits and benefit-related reporting.
- Support compliance with applicable federal and state employment and benefits regulations.
- Assist with required benefit notices and employee communications.
- Maintain confidentiality of employee records and sensitive information.
- Assist the HR Manager with special projects, reporting, and HR initiatives.
- Follow company policies, procedures, and internal controls.
QualificationsRequired Qualifications
- High school diploma or equivalent required.
- 2+ years of experience in benefits administration, human resources, payroll, or a related field preferred.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Strong customer service and employee-support skills.
- Ability to prioritize multiple responsibilities and meet deadlines.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Ability to learn and effectively use HRIS, payroll, and benefits administration systems.
Preferred Qualifications
- Experience administering employee benefits in a manufacturing or similar work environment.
- Experience with HRIS/payroll systems such as Paycor.
- Experience with medical, dental, vision, life, disability, and 401(k) plans.
- Knowledge of basic benefits and employment laws and regulations.
- Payroll experience or willingness to cross-train in payroll.

Performance Expectations
The Benefits Coordinator is expected to:
- Take ownership of the company''s day-to-day benefits administration.
- Respond to employee benefit questions promptly and professionally.
- Maintain accurate benefit and employee records.
- Ensure benefit enrollments and changes are completed accurately and on time.
- Identify and resolve benefit discrepancies proactively.
- Develop strong working relationships with employees, benefit providers, payroll, and HR leadership.
- Become knowledgeable about the company''s benefit programs and policies.
- Cross-train in payroll and other HR functions to provide departmental backup.
- Work independently while keeping the HR Manager informed of significant issues or concerns.
- Identify opportunities to improve benefit processes, employee communication, and HR efficiency.
