JOB SUMMARY AND PURPOSE

Serving in the HR Service Team, the HR Assistant position is a resource for the Human Resources department, primarily assists with the Employment/Onboarding of new employees while aiding the recruitment efforts as described below.

Serving those who serve others. The HR Department of VOALA is dedicated to providing the highest quality of service to those who aid our communities’ most vulnerable.

DUTIES AND RESPONSIBILITIES

  • Perform Day-to-Day administration of current employee benefit programs; develop expertise on those plans, including: medical, dental, life and disability insurance plans, COBRA, wellness, and other programs that may be initiated.
    • Point of contact for employee benefits questions; researches plan and carrier information, providing benefits information and answering questions in a timely manner
    • Assists annual Open Enrollment process and communications
    • Maintain accuracy and files of benefit plan documentation.
  • Respond to call and emails from VOALA employees with questions relating to health insurance plans and eligibility.
  • Support the processes for eligible new employees being set up with benefits.
  • Process change of status of insurance eligibility for employees .
  • Assist managing employee retirement plans, health insurance and health care plans
  • Perform quality checks of benefits-related data.
  • Act as liaison between employee and insurance provider/3rd party benefits administrator as necessary
  • Other duties as assigned

ESSENTIAL ABILITY ACKNOWLEDGEMENT

Ability to work and deal with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs, which may include clients with homelessness, mental illness, substance abuse, recently released from incarceration, and other challenges.

ESSENTIAL DUTIES:

  • An essential function of this position requires incumbents to report to the office
  • Performs clerical and administrative tasks that support the day-to-day operation of benefits programs. Day to Day support and processing routine benefits paperwork, including enrollment forms, status changes, and documentation requests. Maintains and organizes benefits files, recods, and correspondence to ensure they remain current and accessible.
  • Support employee education efforts and information distribution for benefits, pension, both during initial new employee orientation, open-enrollment and throughout the year.
  • Support and ensure that new employees are set up with benefits as chosen when they are eligible
  • Process insurance Claims; coordinate resolution with insurance carrier. Assists with the preparation of reports, invoice processing, and open enrollment support as directed.
  • Perfect audit checks to ensure benefits employee set up compliance
  • Review Benefits and Workers Compensation documentation to ensure it is complete and organized
  • Other duties as required and is subject to change at any time.

MANDATED REPORTER

As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities.

Qualifications

REQUIREMENTS:

  • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications
  • Ability to perform under circumstances of possible emotional stress and conflicts dealing with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs which may include clients with homelessness, mental-illness, substance abuse, recently released from incarceration and other challenges.

EDUCATION:

  • Associate’s Degree or equivalent combination of education and work experience (2 years of relevant experience / coursework)

EXPERIENCE:

  • One Year experience of general employee benefits administration

PREFERRED QUALIFICATIONS:

  • PHR, SHRM-CP, CBP or CEBS
  • WC and LOA experience preferred.
  • Open Enrollment experience preferred.
  • Professional level human resources experience in large complex organizations with high volume of benefits matters.
  • Extensive knowledge of US employee benefits and applicable laws
  • Familiarity with 5500 tax form filing is a plus
  • Experience with Ulti-Pro a plus
