About the Role

A growing home improvement company is seeking a highly organized and bilingual (English/Spanish) Dispatcher & Appointment Coordinator to manage appointment scheduling, customer confirmations, and field dispatch operations across Florida. This role is responsible for ensuring appointments are accurately scheduled, properly assigned, and efficiently coordinated to maximize sales opportunities and deliver an excellent customer experience.

The ideal candidate is detail-oriented, customer-focused, professional on the phone, and capable of managing a high volume of appointments while coordinating multiple sales representatives across various territories.

Key Responsibilities

  • Confirm customer appointments prior to scheduled consultations
  • Verify homeowner and decision-maker attendance for appointments
  • Review project details and confirm customer expectations
  • Maintain accurate appointment records, notes, and CRM updates
  • Reschedule appointments as needed and recover canceled opportunities
  • Reduce appointment fallout, cancellations, and no-shows
  • Assign appointments to sales representatives based on territory, availability, expertise, and project type
  • Optimize daily scheduling efficiency and route planning
  • Communicate schedule updates and changes to sales representatives promptly
  • Monitor calendars and coordinate scheduling priorities with management
  • Track appointment confirmations, cancellations, reschedules, and key scheduling metrics
  • Generate daily and weekly scheduling reports
  • Handle customer inquiries related to appointments and scheduling
  • Resolve scheduling conflicts professionally and efficiently
  • Deliver exceptional customer service throughout the scheduling process

Requirements

  • Fluent in both English and Spanish (written and verbal)
  • Previous experience in dispatching, appointment setting, scheduling coordination, or a similar administrative role
  • Strong customer service and phone communication skills
  • Experience working with CRM systems and calendar management tools
  • Excellent organizational and multitasking abilities
  • Ability to manage a high volume of appointments accurately
  • Strong attention to detail and problem-solving skills
  • Ability to work independently in a remote environment
  • Comfortable coordinating multiple sales representatives and territories
  • Proficient with Microsoft Office and Google Workspace tools

Nice to Have

  • Experience in the home improvement, construction, roofing, solar, HVAC, or remodeling industry
  • Knowledge of Florida territories and service areas
