Bilingual Front Desk Receptionist / Administrative Assistant
Location: Charlotte, NC – In Office
Schedule: Monday–Friday, 8:00 AM–4:30 PM or until daily responsibilities are completed
Pay: $20.00–$22.00/hour, depending on experience
Position Type: Full-Time/ Not remote!
Position Overview
We are looking for an energetic, organized, and dependable Bilingual Front Desk Receptionist / Administrative Assistant to join our staffing office.
This person will be the first point of contact for many of our applicants, employees, clients, and visitors, so we are looking for someone who brings great energy, professionalism, patience, and a genuinely helpful attitude to the office every day.
Our office can move quickly, especially during busy hiring periods. The ideal candidate is comfortable multitasking, helping people who may need additional guidance, answering phones while managing front-desk traffic, and jumping into different administrative projects as needed.
Fluency in both English and Spanish is required.
Key Responsibilities
Greet and check in applicants, employees, clients, and other visitors.
Answer incoming phone calls and direct calls or messages to the appropriate team member.
Assist applicants with completing online applications and navigating the computer application process.
Help applicants and employees complete or update required forms and documentation.
Print, scan, copy, organize, and prepare documents as needed.
Assist employees with basic questions and direct more complex payroll, assignment, or employment questions to the appropriate team member.
Maintain an organized and welcoming front desk, lobby, and applicant area.
Assist recruiters and management with day-to-day administrative support.
Help prepare paperwork and materials for onboarding and new hires.
Maintain and update employee and applicant information as needed.
Assist with filing, data entry, document organization, and other office administrative duties.
Monitor office and business supplies and place orders as needed.
Assist with special projects and changing branch priorities.
Help keep office processes moving efficiently during high-volume recruiting and hiring periods.
Communicate professionally with applicants and employees in both English and Spanish.
Perform additional administrative and branch support duties as needed.
What We're Looking For
We are looking for someone who is naturally helpful and enjoys working with people. This position requires someone who can remain friendly and professional even when the office is busy, the phones are ringing, and several people need assistance at the same time.
The right person will be:
Fluent in English and Spanish – speaking, reading, and writing
Friendly, outgoing, and comfortable interacting with different personalities
Professional with strong customer-service skills
Patient and comfortable helping individuals who may need assistance using a computer or completing an application
Organized and detail-oriented
Comfortable handling multiple responsibilities at once
Able to communicate clearly over the phone, by text/email, and in person
Dependable and punctual
Comfortable learning new computer systems and office processes
Proficient with basic computer functions, email, Microsoft Office, printing, scanning, and data entry
Willing to take initiative rather than waiting to be told what needs to be done
Comfortable working as part of a small team where everyone may need to wear multiple hats
Requirements
Bilingual English/Spanish required
Previous receptionist, administrative, customer service, staffing, HR, or office experience preferred
High school diploma or equivalent
Reliable transportation and personal vehicle
Valid driver's license
Ability to pass a drug screening
Ability to work Monday–Friday from 8:00 AM–4:30 PM or until daily responsibilities are completed
Ability to work on-site at our Charlotte office; this is not a remote position

This role is a great fit for someone who enjoys being busy and likes helping people. Some days may involve assisting several applicants with applications, answering phones, printing paperwork, and helping recruiters all within the same hour. Other days may include organizing files, updating forms, ordering supplies, or helping management with a special project.
We value someone who can see what needs to be done and jump in. A positive attitude, strong work ethic, good communication, and willingness to help the team are just as important to us as previous office experience.
