Our client has an immediate need for a Temporary Bilingual Human Resources Coordinator to support a fast-paced production environment. This position plays a key role in human resources administration, recruiting, employee relations, payroll and timekeeping support, safety compliance, employee training, and company events.
The ideal candidate is highly organized, detail-oriented, resourceful, and able to handle sensitive employee information with a high level of confidentiality. This role requires excellent communication skills, a strong sense of urgency, the ability to work independently, and a commitment to company policies, procedures, and values.
Duties and Responsibilities:
Human Resources Coordination
Maintain strict confidentiality of employee and company information.
Assist with Spanish/English translations and employee communications.
Prepare employee memos, letters, announcements, presentations, and training materials.
Make employee announcements verbally through the company speaker system as needed.
Communicate new hires and employment opportunities.
Scan and maintain employee paperwork in the shared drive.
Process paperwork related to new hires, terminations, and other personnel changes.
Maintain accurate and organized employee records.
Recruiting & Interviews
Coordinate and conduct interviews for Production Department positions.
Work with managers to understand staffing needs, job requirements, and candidate qualifications.
Conduct interviews as requested by management.
Document and maintain interview records in accordance with applicable legal requirements.
Assist with reviewing applications through Team Engine.
Communicate with supervisors regarding staffing needs and employee events.
Drug-Free Workplace
Coordinate quarterly random drug screenings for safety-related and DOT-regulated positions.
Maintain and update employee lists and drug-screening records.
Coordinate required pre-employment screenings as part of the new-hire process.
Employee Coaching & Performance
Schedule and follow up on new-hire performance evaluations.
Attend Production Department coaching reviews as needed.
Discuss performance review results with supervisors and assist with appropriate follow-up.
New Hire Orientation
Coordinate and conduct new-hire orientations.
Coordinate drug screenings and background checks.
Complete and maintain new-hire paperwork.
Review the employee handbook and company policies.
Provide training on the IIPP Safety Program.
Coordinate required safety and compliance videos and training, including:
Sexual harassment prevention
Heat illness prevention
Agricultural safety
Other required safety training
Employee Relations, Discipline & Terminations
Assist departments with disciplinary actions and employee terminations.
Complete exit paperwork and personnel change forms.
Process benefit cancellation information and communicate changes to the HR Manager.
Assist with preparation of disciplinary notices.
Assist with employee complaint mediation and investigations.
Conduct investigations as directed, including gathering employee and supervisor statements and supporting documentation.
Maintain appropriate documentation throughout the employee relations process.
Company Compliance
Verify required labor law postings quarterly/yearly.
Maintain and monitor the employee suggestion box.
Document and report employee communications to the HR Manager.
Communicate employee morale concerns, workplace issues, and other matters to the HR Manager or appropriate management personnel.
Assist with special projects and other HR-related duties as assigned.
ADP & Daily Time Management
Prepare daily ADP reports of Production hours and distribute them to appropriate personnel.
Review timekeeping reports for:
Timely meal breaks
Missing punches
Incorrect departments
Timekeeping inaccuracies
Other discrepancies
Return discrepancies to supervisors/managers for review and approval.
Record vacation, sick, holiday, late, overtime, absence, and other leave information in ADP.
Review timesheets for seventh-day hours and other timekeeping issues to ensure compliance with applicable wage-and-hour requirements.
Report deficiencies to supervisors and the HR Manager.
Activate and inactivate employees in ADP.
Work with ADP regarding technical issues involving time clocks and software.
Ensure time clocks are properly maintained, serviced, and available for efficient employee use.
Labor Efficiency Reporting
Transfer daily Production hours into labor efficiency reports using Microsoft Excel.
Maintain accurate and timely production-hour data.
Payroll Coordination
Review employee hours during each bi-weekly payroll cycle for inaccuracies and discrepancies.
Verify departments, missing punches, and other timekeeping information.
Transfer vacation, sick, holiday, unexcused, and PPD hours to payroll summaries.
Reconcile payroll information against supporting documentation.
Post terminations, new hires, vacation/sick requests, and payroll changes to Microsoft Teams for Payroll processing.
Human Resources Management System (HRMS)
Maintain an accurate and up-to-date HRMS.
Update employee personnel files, payroll information, training records, and performance reviews.
File and maintain employee documentation within the HRMS.
Ensure employee records are accurate, complete, and properly organized.
Employee Appreciation Events
Coordinate employee appreciation events and activities.
Develop agendas and follow up on topics discussed.
Coordinate event logistics and ensure successful completion of events.
Create flyers, newsletters, and other company communications.
Coordinate food, seating, supplies, and other event needs.
Work with the General Manager and Production team to coordinate event dates and times.
Serve as MC/presenter at company events alongside the Executive Assistant to the CEO.
Assist with event setup and cleanup.
Safety Officer Responsibilities
Coordinate mandatory employee training and certifications, including new and renewal training.
Maintain accurate records of required certifications and training, including:
CPR
Forklift
Sexual harassment prevention
Pesticide training
Spray training
Other required safety certifications
Prepare training reports by employee and department, including missing or overdue training.
Maintain accident and incident records.
Prepare risk assessment reports, incident reports, and corrective-action documentation.
Coordinate safety meetings and maintain accurate attendance and topic records.
Ensure required training is scheduled and completed for new hires.
Maintain the company's IIPP program.
Coordinate bi-monthly Safety Committee meetings.
Prepare investigation reports for Safety Committee meetings.
Conduct periodic risk assessments and bi-weekly workplace safety walkthroughs.
Identify workplace hazards and ensure they are addressed in a timely and effective manner.
Investigate accidents, incidents, mishaps, and workplace safety concerns.
Assign safety-related tasks to employees as appropriate.
Report workers' compensation injuries and communicate injury status and investigation results to the Finance Manager and management.
Train employees on workers' compensation reporting procedures and forms.
Maintain current workers' compensation forms and supplies.
File and manage open workers' compensation claims.
Prepare and maintain OSHA 300 logs and related records.
Required Skills & Qualifications
Bilingual Spanish/English required.
25 years of Human Resources experience, preferably in an organization with 50 or more employees.
Working knowledge of applicable federal and state employment laws and regulations, including FMLA, ADA, and CFRA.
Intermediate Microsoft Excel skills.
Proficiency with Microsoft Office, email, and calendar applications.
Experience with Microsoft Teams and Zoom.
PowerPoint presentation skills.
Experience with ADP Employee Time Management System preferred.
Experience with Canva or similar design software preferred.
Experience with Zywave preferred.
Strong written and verbal communication skills.
Ability to maintain confidentiality and exercise sound judgment.
