Job Summary  Mon-Fri  7am-3:30pm (must be flexible to stay after 3:30pm if needed) 

We are seeking a detail-oriented and bilingual Warehouse Administrator to support daily production and warehouse operations. This position combines administrative responsibilities with active involvement on the warehouse floor, requiring the ability to work in both office and production environments. The ideal candidate will assist with inventory management, production reporting, data entry, employee communication, and operational support while maintaining visibility and engagement with warehouse activities. Fluency in English and Spanish is required.

Key Responsibilities

  • Provide administrative support for daily warehouse and production operations.
  • Spend time both in the office and on the warehouse floor monitoring production activities and supporting operational needs.
  • Coordinate production schedules, work orders, and material availability to ensure workflow efficiency.
  • Maintain accurate inventory records, production reports, and shipping documentation.
  • Enter and update production, inventory, and operational data within ERP and warehouse management systems.
  • Conduct routine inventory audits, cycle counts, and physical verification of materials within the warehouse.
  • Assist supervisors and production teams in resolving inventory discrepancies and production issues.
  • Communicate company policies, work instructions, and operational updates to English- and Spanish-speaking employees.
  • Support receiving, shipping, staging, and material movement activities as needed.
  • Prepare daily, weekly, and monthly production and performance reports for management.
  • Partner with warehouse personnel to ensure compliance with safety, quality, and operational standards.
  • Assist with employee onboarding, training documentation, attendance tracking, and workforce communication.
  • Maintain organized records and documentation while ensuring production deadlines are met.
  • Serve as a liaison between office staff, production teams, warehouse associates, and management.

Physical & Work Environment Requirements

  • Ability to work in both an office setting and a warehouse/manufacturing environment.
  • Regular walking throughout the warehouse to support production operations and inventory activities.
  • Ability to stand, bend, and move throughout the facility for extended periods.
  • Ability to occasionally lift up to 25-50 pounds.
  • Comfortable working in a fast-paced production environment with varying noise levels and warehouse conditions.

Qualifications

  • Bilingual in English and Spanish (written and verbal).
  • Experience in warehouse administration, production coordination, inventory control, or manufacturing support.
  • Strong proficiency with Microsoft Excel, Outlook, and Word.
  • Experience with ERP, WMS, SAP, Oracle, or other inventory management systems preferred.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to balance administrative responsibilities with hands-on operational support.
