Poppy Life Care is seeking an experienced, highly organized Billing & Operations Coordinator to support our growing behavioral health and healthcare operations.

\n


\n

This is a part-time position starting at approximately 5 hours per week, with the opportunity for hours to increase as our client volume and operational needs grow.

\n


\n

This is a hands-on role for someone who understands the full revenue cycle and can independently manage behavioral health billing while also supporting credentialing, client intake, administrative functions, and operational projects.

\n


\n

The ideal candidate is proactive, detail-oriented, comfortable working in a growing organization, and able to identify and resolve billing or operational issues with minimal oversight.

Key Responsibilities\n
\n

Medical & Behavioral Health Billing

\n
  • \n
  • Manage end-to-end medical and behavioral health billing and claims submission
  • \n
  • Review charges and claims for accuracy prior to submission
  • \n
  • Submit claims to commercial and government health plans as applicable
  • \n
  • Monitor claim status and proactively follow up on outstanding claims
  • \n
  • Manage denials, rejections, corrections, and resubmissions
  • \n
  • Review EOBs/ERAs and reconcile payments
  • \n
  • Identify billing issues and work toward timely resolution
  • \n
  • Maintain accurate billing documentation and reporting
  • \n
  • Help establish and maintain efficient billing workflows and processes
  • \n
\n

Credentialing & Payer Enrollment

\n
  • \n
  • Support provider and group credentialing and recredentialing
  • \n
  • Manage credentialing applications with major commercial health plans
  • \n
  • Maintain CAQH and payer credentialing information
  • \n
  • Track applications, effective dates, contracts, and outstanding payer requirements
  • \n
  • Follow up directly with payers regarding credentialing and enrollment status
  • \n
  • Assist with provider additions, terminations, and demographic updates
  • \n
  • Maintain organized credentialing records and trackers
  • \n
\n

Systems & Platforms

\n
  • \n
  • Hands-on Tebra experience is required
  • \n
  • Experience with Availity is required
  • \n
  • Experience navigating major commercial payer portals
  • \n
  • Familiarity with CAQH and other credentialing/enrollment systems
  • \n
  • Ability to learn and manage additional healthcare technology platforms as needed
  • \n
\n

Operations & Administrative Support

  • \n
  • Answer and route incoming phone calls
  • \n
  • Assist with new client inquiries and intake
  • \n
  • Verify insurance information and benefits as needed
  • \n
  • Coordinate administrative aspects of client onboarding
  • \n
  • Support scheduling and communication with clients and providers
  • \n
  • Maintain organized records and internal documentation
  • \n
  • Assist leadership with operational projects and process improvement
  • \n
  • Help develop and maintain SOPs and administrative workflows
  • \n
  • Provide general administrative and operational support as needed
  • \n

Qualifications\n
  • \n
  • 5+ years of medical and/or behavioral health billing experience preferred
  • \n
  • Significant behavioral health billing experience strongly preferred
  • \n
  • Previous healthcare credentialing and payer enrollment experience
  • \n
  • Experience credentialing individual clinicians and/or group practices with major health plans
  • \n
  • Tebra experience required
  • \n
  • Availity experience required
  • \n
  • Strong understanding of claims submission, CPT codes, modifiers, denials, EOBs/ERAs, eligibility, and payer workflows
  • \n
  • Excellent organizational skills and attention to detail
  • \n
  • Strong written and verbal communication skills
  • \n
  • Ability to independently manage multiple priorities and deadlines
  • \n
  • Demonstrated ability to take ownership of projects and follow issues through resolution
  • \n

Schedule & Growth\n

This position will begin at approximately 5 hours per week. Hours are expected to increase over time based on client volume, billing needs, and organizational growth.

\n

We are looking for someone interested in developing a longer-term relationship with Poppy Life Care and taking on increasing responsibility as the organization grows.

\n


Compensation\n

$30–$40 per hour, depending on experience.

\n

Compensation within the range will be based on depth of behavioral health billing and credentialing experience, Tebra expertise, and demonstrated ability to independently manage billing and operational responsibilities.

\n


Ideal Candidate\n

The ideal candidate doesn't simply submit claims—they understand the entire revenue cycle and know how to troubleshoot when something isn't working.

\n


\n

We're looking for someone who can recognize an issue, investigate it, communicate with the appropriate payer or team member, and follow it through to resolution. You should be equally comfortable working inside Tebra, following up on a credentialing application, helping a new client through intake, answering a client call, or organizing an internal operational process.

\n


\n

This position has meaningful growth potential as Poppy Life Care continues expanding its payer relationships, behavioral health services, and healthcare programs.
