Billing Specialist (Legal)

A respected regional law firm is seeking a detail-oriented Billing Specialist to join its accounting and finance team. This hybrid position is responsible for managing the full legal billing cycle, partnering with attorneys and support staff to ensure timely, accurate client invoicing and exceptional service. The ideal candidate will have prior billing experience, strong organizational skills, and the ability to thrive in a deadline-driven professional environment. This position is direct hire and will pay between $65K and $80K annually.

Responsibilities

  • Prepare, review, and process monthly client invoices in accordance with attorney and client guidelines.

  • Edit and finalize prebills, ensuring billing accuracy and compliance with engagement agreements.

  • Coordinate with attorneys and legal support staff to resolve billing questions, adjustments, and write-offs.

  • Monitor client billing requirements, including electronic billing guidelines and outside counsel requirements.

  • Submit invoices through electronic billing platforms and follow up on rejections or payment issues.

  • Process credit memos, rate adjustments, and billing transfers as needed.

  • Generate reports related to billing activity, work-in-progress, accounts receivable, and client balances.

  • Research and resolve billing discrepancies while maintaining accurate financial records.

  • Assist with collections efforts by providing invoice support and responding to client inquiries.

  • Maintain attorney billing schedules and ensure timely completion of monthly billing cycles.

  • Support month-end closing activities and other accounting department initiatives.

  • Collaborate with accounting team members to improve billing processes and operational efficiency.

Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred.

  • 4+ years of billing experience, preferably within a law firm or other professional services environment.

  • Experience managing complex billing arrangements and client-specific invoicing requirements.

  • Proficiency with billing software, accounting systems, and Microsoft Excel.

  • Familiarity with electronic billing platforms and legal billing practices is preferred.

  • Strong analytical, problem-solving, and organizational skills.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple deadlines while maintaining accuracy and attention to detail.

  • Professional demeanor and commitment to confidentiality when handling sensitive client information.
