Billing Specialist

Since 1986, Advanced Refrigeration & Air has been a leader in commercial refrigeration and air conditioning. Based in Orlando, Florida, our family-owned company operates across five locations in the state. For 40 years, we have provided top-tier service to grocery retailers, restaurants, and businesses throughout Florida, Georgia, and Alabama. 

We are seeking a detail-oriented and experienced Billing Specialist to join our team. This role is critical to ensuring accurate invoice processing, timely billing, and outstanding customer service.

Position Summary:

The Billing Specialist will be responsible for managing the entire invoice process. This includes preparing and issuing invoices, verifying work orders, and addressing any discrepancies, all while delivering outstanding customer service to clients. The perfect candidate will have a background in the HVAC industry, strong communication abilities, and the capacity to juggle multiple tasks efficiently.

Key Responsibilities

• Collaborate with Technicians and Managers: 
  • Maintain regular communication with service technicians and managers to guarantee precise completion of work orders, prompt job closures, and accurate billing.
• Invoice Processing: 
  • Produce and send invoices for completed HVAC/R and plumbing services with precision, confirming that all required documentation (work orders, purchase orders, contracts) is validated.
• Customer Support: 
  • Handle and resolve client inquiries about invoices, payments, and service information.
• Review & Verification: 
  • Verify that work orders and service contracts are thorough and correspond with the invoiced amounts, addressing any discrepancies promptly.
• Accounts Receivables & Collections: 
  • Oversee accounts receivable by contacting clients regarding overdue payments and sending reminders or statements when necessary.
• Perform additional duties as assigned.

Qualifications

• Ability to work independently and as part of a team in a fast-paced environment.
• Excellent attention to detail and organizational skills.
• Experience working with Acumatica or other accounting software.
• Familiarity with HVAC terminology.
• Proficiency in Microsoft Excel for data management, analysis, and reporting.
• Proficiency in Microsoft Office (Excel, Word, Outlook).
• Strong communication skills, both written and verbal.
• Strong understanding of invoicing and accounting practices.

Education & Experience

• 2+ Years of recent HVAC billing experience.
• Acumatica ERP experience preferred but not required.
• Experience with collections
• Familiarity with HVAC service terminology.
• High school diploma or equivalent required
