Were looking for a detail-loving, people-focused Board Services Coordinator to join our team in Downtown Orlando! In this role, youll support our Manager of Board Services and Executive Team while helping keep our Board of Directors and committees running smoothly. Youll be a go-to resource for coordination, organization, and communicationand a trusted professional when it comes to handling confidential information.

Keep calendars, schedules, appointments, and meetings organized and up to date
Provide administrative support to the Manager of Board Services and Executive Team
Help coordinate Board of Directors and committee meetings from start to finish
Prepare and distribute agendas, meeting materials, notifications, and calendars
Maintain online Board and committee calendars
Serve as backup recording secretary for Board and committee meetings
Prepare, transcribe, and maintain meeting minutes, bylaws, policies, and official documents
Share key decisions, actions, and follow-ups after meetings
Track outstanding agenda items and follow up to ensure timely completion
Maintain the Board Members roster and manage logistics such as travel, room bookings, and meals
Coordinate public participation for Board and committee meetings
Help manage and update the Board information portal to support transparency
Assist with onboarding and orientation for new Board and committee members
Ensure Board and committee travel reimbursement claims are submitted
Handle internal and external correspondence, including sensitive information
Support front desk duties during meetings, including mail and visitor direction
Act as Records Coordinator to ensure proper record retention
Conduct research, collect data, and help prepare reports and presentations
Proofread and edit reports and documents
Respond to general email and phone inquiries
Run errands and assist with other duties as needed
A strong customer-service mindset
Ability to multitask and stay organized in a fast-paced environment
Advanced skills in Microsoft Word, Excel, PowerPoint, and Adobe products
Excellent written and verbal communication skills (grammar lovers welcome!)
Strong planning, organizational, and follow-through skills
Ability to work independently, meet deadlines, and stay calm under pressure
Detail-oriented, analytical, flexible, and solution-focused
Associates degree (AA) or equivalent work experience
At least six (6) years of administrative experience supporting senior leadership
Experience supporting a Board of Directors
