Key Job Responsibilities:
Accounts payable and Receivable: Manage invoices for accuracy, payment processing, revenue tracking, reimbursements and discrepancy resolution while maintaining organized records for the Parish, School and ELC.
Deposit Management: Manage deposits, and reconciliation for the Parish, School and ELC in compliance with internal controls.
Manage school student contracts, tuition payments (FACTS Software) and incidentals bills; insuring a 100% tuition reconciliation.
Credit Card, Bank and Accounts Reconciliation: Perform monthly reconciliations, investigate discrepancies, and flagging unresolved items for resolution.
Journal Entries and General Ledgers: Prepare journal entries, maintain account integrity, and support accurate month -and year end closure, Ensure all transactions are posted in the correct period and to the correct account, fund or program.
Maintenance of vendors W9s, contracts, COLI and other documentation.
Tax and Compliance: supports 1099 preparation, audits and ensure adherence to financial policies and tax-exempt requirements.
Financial Records and Reporting: Generate reports in line with retention policies.
Oversees accounting document retention, security, and destruction per AOD directives.
Fixed Assets: Track assets and reconcile asset records to the general ledger.
Administrative support: Maintain consistent bookkeeping practices across all locations, Parish, School and ELC ; Train and guide Staff on expense documentation and proper coding while ensuring timely submission for processing and month end.
Tracks and monitors temporary restricted and designated accounts.
Assist in preparing financial reports for Finance Council Meetings
Assist in preparing the annual report and various budgets.
Handle sensitive confidential material and serve as a liaison to other staff members.
Requirements: What were looking for:
Be a fully initiated Catholic in communion with the Catholic Church
Align with the values and mission of the Catholic Church in an Apostolic Age.
Highly detail - oriented with strong accuracy in financial recordkeeping and data entry.
Organized and able to manage bookkeeping for a large Parish, School and ELC
Handles confidential information with discretion and professionalism.
Reliable, self -directed, and consistently meets recurring deadlines
Communicates clearly and professionally with Staff.
Adaptable and solution-oriented in a dynamic environment.
Proficient in Microsoft Teams, Excel, and Word.
Associates or Bachelors degree in Accounting, Finance or related field preferred, equivalent work experience considered.
Minimum of 3 years of bookkeeping experience, with demonstrated proficiency in accounts payable, accounts receivable, bank reconciliations and journal entries.
Prior experience in a non -profit organization or faith-based setting strongly preferred.
Experience supporting multiple departments simultaneously preferred.
Proficiency in Parish Soft Accounting, Parish Soft suite, Parish soft giving and FACTS Software highly preferred.
