Duties
Summary Description
The CareerTEC Bookkeeper works under the direct supervision of the Director and oversees the fiscal operations of CareerTEC in an efficient and professional manner. This position performs responsible bookkeeping, payroll, purchasing, grant management, and administrative duties while supporting the smooth daily operation of the CareerTEC office. Regular full-time 12-month position. Salary is competitive and commensurate with experience. Position is open until filled.
Performance Responsibilities
- Maintains accounting records, vouchers, contracts, and fiscal reports for CareerTEC;
- Manages encumbrance accounting and purchasing procedures, including purchasing and receiving for grants, tracking grant expenditures, and communication with instructors regarding grant purchases and balances;
- Assists in preparing, monitoring, and maintaining budgets and financial records;
- Processes payroll and required deductions, tax reports, retirement reports, and year-end forms;
- Prepares checks, deposits, reconciliations, balance sheets, and monthly financial reports for the Board and administration;
- Maintains accounts payable, accounts receivable, tuition billings, and district assessments;
- Coordinates annual audits and maintains capital equipment inventory records;
- Assists with local, state, and federal grant reporting and financial compliance;
- Initiates pre-employment requirements, maintains personnel records, and communicates staff updates and required information;
- Serves as Portal Registry Authority for Healthcare Worker Registry;
- Secures substitute teachers and maintains records and payroll documentation;
- Cross-trains office staff as appropriate and performs related duties as assigned;
- Serves as Recording Secretary for the CareerTEC Board of Directors;
- Performs related duties, as assigned.
Qualifications
Any combination of education and experience providing the required knowledge and skills is qualifying. Typical qualifications include:
- Associate's degree (or higher) in Accounting preferred;
- Three years of bookkeeping, accounting, or human resources experience preferred;
- Knowledge of office procedures and office technology, preferably Skyward software;
- Proficiency in word processing, spreadsheets, databases, and computer systems;
- Strong organizational, communication, and interpersonal skills;
- Attention to detail and ability to manage confidential information; and
- Self-starter with strong problem-solving and critical-thinking skills.
Salary/Benefits
Salary is competitive and commensurate with experience. Salary range: $47,817 and $60,320 for 260 contracted days.
