Primary Purpose:

Assist the principal, teachers, and staff in the administration of the campus' business affairs. Perform general bookkeeping and maintain campus financial records.

Qualifications:

Education/Certification:

High School Diploma or GED

Two years college course work in accounting or accounting related topics (extensive experience may substitute for a portion of college course work)

Special Knowledge/Skills:

Knowledge of accounting methods/principles, systems, and business practices

Basic understanding of bookkeeping/accounting systems for revenue and expenditures

Basic understanding of school district budget cycle and codes

Good analytical and problem solving skills

Demonstrated ability to perform responsibilities with limited supervision

Demonstrated keyboarding and/or ten key calculator skills

Proficient knowledge of personal computers and software applications to support recordkeeping, accounting procedures and reports (MS Office, Excel, Word, etc.)

Demonstrated task oriented self-starter with the ability to perform and enter data with a high degree of accuracy

Demonstrated ability to work under the time pressures and demands of the position to achieve deadlines

Demonstrated organizational, communication, and interpersonal skills required to achieve the goals of the position

Experience

Two years accounting or bookkeeper experience preferred

Major Responsibilities and Duties:

  • Maintain complete and systematic records of the campus financial transactions and record details of such transactions into District financial system.
  • Obtain a working knowledge of all District policies and procedures related to cash handling, purchasing, activity funds, organizations and clubs, relations with parent organization, gifts and solicitations, and record retention.
  • Prepare related purchase requisition for transfer of funds to appropriate District account to be remitted to State by District's Accounting Office.
  • Verify, document, and deposit all monies coming into the school including collections by campus, student and faculty groups, and departments (fees, ticket purchases, fundraisers, student sales, etc.). Maintain and monitor documentation for and receipts of these entities.
  • Maintain, monitor, and record campus and student activity fund accounts to include the processing and retention of all related documentation and the preparation of monthly balance verification to sponsors. Safeguard authorized District receipt books assigned to all sponsors/teachers collecting money on campus. Annually present to sponsors and teachers a review of activity fund requirements, in conjunction with "beginning of school" campus orientation.
  • Maintain and reconcile all procurement and vendor cards assigned to the campus and provide required documentation to the Accounting Department.
  • Receive, process, code and enter into the District's on line purchasing system, purchase requisitions for the campus.
  • Monitor receipt of goods ordered and any discrepancies and forwards documentation of receipt with purchase order original to Accounts Payable to facilitate timely payment of all invoices.
  • Manage maintenance and order supplies for all campus copiers.
  • Initiate, document, and monitor collection activities for checks returned by the bank for non sufficient funds and other reasons, to include referral to Accounting and/or the McLennan County District Attorney's Office, as applicable.
  • Assists Principal and Campus Administrative Assistant with budget preparation and budgeted funds.
  • Maintain physical and computerized files and records in compliance with the District's Record Retention Schedule.
  • Work closely with District Administrative departments.
  • Maintain confidentiality.
  • Perform other duties as assigned.
