QUALIFICATIONS

Required

  • Associate's or Bachelor's degree in Accounting, Finance, or related field (or equivalent experience).
  • 5+ years of bookkeeping or accounting experience. 
  • Experience with multi-entity accounting. 
  • Advanced proficiency in QuickBooks (Desktop). 
  • Strong Microsoft Excel skills. 
  • Excellent organizational and analytical abilities. 
  • Exceptional integrity and ability to maintain strict confidentiality. 

 

Preferred

  • Experience working in a family office, private investment office, private equity firm, or wealth management environment.
  • Familiarity with trust accounting and partnership accounting. 
  • Experience accounting for investment portfolios and alternative assets. 
  • Experience with bill payment platforms and expense management systems. 
  • Experience with charitable foundations is a plus.
  • CPA, Certified Bookkeeper, or similar professional certification is a plus.

RESPONSIBILITIES

Accounting & Bookkeeping

  • Maintain the general ledger for multiple entities, including LLCs, corporations, trusts, partnerships, and personal accounts. 
  • Record and reconcile all bank, brokerage, credit card, contribution, and distribution, and loan transactions. 
  • Process accounts payable, including invoice review, coding, payment processing, and vendor management. 
  • Prepare monthly financial statements, balance sheets, income statements, and cash flow reports. 
  • Perform monthly, quarterly, and annual account reconciliations. 

 

Cash Management

  • Monitor daily cash balances across multiple accounts.
  • Schedule wire transfers, ACH payments, and check disbursements. 
  • Coordinate cash transfers between accounts as directed. 
  • Maintain accurate records of capital contributions, distributions, and intercompany transactions. 

 

Investment & Asset Tracking

  • Record investment purchases, income distributions, and capital calls. 
  • Track alternative investments, private equity, venture capital, real estate, and hedge funds, as applicable. 
  • Maintain cost basis and investment accounting records. 
  • Coordinate with investment advisors and custodians regarding transaction reporting. 

Financial Administration

  • Maintain accounting records for personal expenses, residences, vehicles, and other family assets, as applicable.
  • Track insurance premiums, property taxes, and recurring obligations. 
  • Organize financial documents for audits and tax preparation. 
  • Assist with annual budgets and cash flow forecasting. 

 

Tax & Compliance Support

  • Prepare schedules and documentation for outside CPAs. 
  • Maintain organized records supporting federal, state, and local tax filings. 
  • Assist with property tax and state information reporting requirements. 
  • Ensure proper documentation and retention of financial records. 

 

Reporting

  • Prepare monthly financial reporting packages for the office leadership. 
  • Produce ad hoc financial analyses and reports as requested. 
  • Identify discrepancies and recommend corrective actions.

The Bookkeeper / Controller is responsible for the day-to-day financial recordkeeping and accounting operations of a Houston-based single-family office. This role requires exceptional attention to detail, discretion, and professionalism while managing the confidential financial affairs of the affiliated members and corporate entities. The ideal candidate is highly organized, experienced with complex financial transactions, very comfortable with QuickBooks, and comfortable working in a confidential environment with multiple legal entities and asset classes. The role is not remote, but will likely require 4 days a week in-office.
