Description

We are looking for an organized, detail-oriented, and reliable Bookkeeper to manage our company’s day-to-day financial transactions. In this role, you will be responsible for maintaining accurate financial records, balancing accounts, and ensuring our financial data is up to date and compliant. The ideal candidate has strong numerical literacy, enjoys creating order out of complex data, and can operate with absolute discretion and integrity.

Core Responsibilities

 

1. Financial Recording & Account Reconciliation

  • Record day-to-day financial transactions, including accounts payable, accounts receivable, and journal entries.

  • Reconcile bank accounts, credit cards, and loan statements monthly to ensure data integrity.

  • Identify, investigate, and resolve any discrepancies or variances in financial records.

2. Accounts Payable (AP) & Accounts Receivable (AR)

  • Process vendor invoices accurately, match them to purchase orders, and schedule timely payments.

  • Generate and issue professional invoices to clients and monitor outstanding balances.

  • Follow up politely but firmly on overdue accounts to maintain healthy company cash flow.

3. Payroll & Expense Management

  • Collect, verify, and process employee timesheets to run accurate and timely payroll.

  • Review, categorize, and process monthly employee expense reports and receipts.

  • Ensure accurate tracking of payroll taxes and deductions in compliance with local regulations.

4. Reporting & Compliance

  • Prepare monthly, quarterly, and annual financial statements (Balance Sheet, Income Statement, Cash Flow).

  • Maintain an organized, audit-ready digital and physical filing system for all financial documents.

  • Assist external accountants or auditors during tax season by providing clean, prepared ledgers.

Skills & Qualifications

Hard & Technical Skills

 

  • Accounting software (QuickBooks Online, Xero, Sage)

  • Spreadsheet mastery (Advanced Excel, Google Sheets, including VLOOKUPs and Pivot Tables)

  • Payroll processing platforms (Gusto, ADP, Paychex)

  • Receipt and expense management tools (Expensify, Dext, Hubdoc)

  • Online banking systems and electronic payment platforms (Bill.com, Stripe, PayPal)

  • Knowledge of Generally Accepted Accounting Principles (GAAP)

  • Data entry speed and alphanumeric 10-key typing accuracy

Soft & Behavioral Skills

 

  • Extreme attention to detail and high accuracy

  • Discretion and handling of confidential financial data

  • Organizational skills and systematic workflow management

  • Analytical thinking and mathematical aptitude

  • Clear and professional written communication (for vendor/client collections)

Key Performance Indicators (KPIs)

 

  • Ledger Accuracy: Minimal to zero data entry errors or categorization mistakes during bank reconciliations.

  • Deadline Adherence: Meeting all payroll, tax filing, and monthly closing deadlines consistently.

  • Aging Accounts Control: Keeping accounts receivable over 30 days to a target minimum percentage.
