    REPORTS TO:        Theater Manager

    STATUS:                  Non - exempt

    HOURS:                   Full-time (40)

    LOCATION:              Fort Lauderdale | 2401 Cypress Creek Road, Fort Lauderdale FL 33309

    You must have a passion to change the world for Jesus through coordinating a world class Theater venue for Calvary Chapel Fort Lauderdale and Calvary Christian Academy. You will do this by organizing all requests and procurement of the facility needed for events, helping to coordinate all ministries and their needs for production, assisting with communication, strategy, team building duties and other relations.
    As the Box Office Coordinator, you must have proven organizational and strategic skills and will be responsible for looking after the Theater Support Team to ensure that the Calvary Chapel Theater provides an excellent experience for all productions.

    You will:

    • Support the Theatre Manager in coordinating all aspects of the Calvary Chapel Theatre including event strategy, communication with ministries and CCA, production meetings and booking of events in Ministry Platform
    • Manage the Theatre Costume Closet and Prop room.
    • Maintain inventory and organization of spaces
    • Coordinating our “Borrowed” system with staff and outside parties
    • Coordinate all aspects of the ticketing system as it relates to events, accounts and transactions, including but not limited to Audience View Professional (AVP), pricing, preparations, scheduling, ticket giveaways, maintain box office equipment, radios and supplies, serve as ticketing liaison to all departments
    • Coordinate handicap and assisted seating for the attendees on a personal level, case by case, reconcile any issues or problems by providing exemplary and proactive customer service to guests
    • Attend and assist with event production needs as assigned, develop ideas to improve effectivity and stewardship, promotion of events, appearance in the lobby, concessions, and in the house
    • Coordinate all ticketing fulfillment for complimentary tickets for pastors, sponsors, ticket giveaways and special constituencies
    • Maintain Box Office information phone system; update outgoing messages regularly, check and return all voicemail messages in a timely manner
    • Manage updates on the Theatre TV Marquee with events and messages as assigned
    • Coordinate all ticket inventory appropriately, maintain financial records of all ticket sales, receipts, reconciliations, deposits, annual reports and performance settlements submitted to accounting in a timely manner 
    • Be responsible for coordinating, supervising and delegating tasks to Theatre volunteers, including greeters, ushers, and concessions assistants
    • Maintain constant communication with all volunteers/staff, facilities and security before and during event to assure the event runs smoothly
    • Support Theatre Manager in developing, training and implementing policies for box office personnel, ushers, greeters and concession assistants
    • Implement procedures to ensure consistency in handling all aspects of the box office process including messages, ticket sales, exchanges, refunds, etc.
    • Schedule Usher/Greeter teams for all events in Theatre that have non-staff attendees unless service not requested
    • Recruit, develop and spiritually invest in volunteer staff. 
    • Manage security and lockdown procedures for events before, during and after
    • Conduct End of Year meeting with ministries and CCA to review year for improvement and suggestions for next year
    • Coordinate and manage the cleanliness and readiness of the theatre and its surrounding areas under our oversight: the house, lobby, loading dock, dressing rooms, stage, black box; schedule repairs and maintenance through LIMBLE for these areas
    • Manage all aspects of concessions including ordering of refreshments, pricing, and inventory management. Facilitate orders, invoices, check requests, purchase orders, follow-up with product ordered
    • Meet weekly with the Theatre Manager and CCA Operations Coordinator to review scheduled and new proposed events
    • Coordinate distribution of Theatre Production Schedule
    • Attend Volunteer Coordinator Meetings as assigned

    You have:

    • A high level of experience working with Google Suite
    • Experience working with Adobe Creative Cloud and other platforms 
    • Strong proficiency with Microsoft programs for producing reports and presentations
    • A base knowledge in all aspects of the production systems used in the Calvary Chapel Theater
    • An understanding of the disciplines of production of events, musicals, plays and concerts
    • The ability to communicate and negotiate with vendors from various platforms
    • The ability to problem solve, resolve conflicts, and bring harmony 

      

    What you are required to know:

    • You may have to bend, sit or stand for prolonged periods of time, lift, pull, push and/or move up to 35 lbs.
    • This is a full-time (40 hours/week) non-exempt position
    • You will have to work evenings and/or weekends to assist with events or emergencies

    Work Schedule:

    Staff culture is important to what we do. To love like family, we require all staff to attend all staff meetings, department meetings and serve with a willing heart especially at all major campus events.
