General Description:

The Budget and Administrative Manager provides multifaceted support for operations and budgets within the College of Professional Studies, with the main functions being primarily in the School of Music, Theatre & Dance (SMTD) and Partnerships and Professional Development (PPD) in the School of Education. This position establishes and maintains a professional presence on campus and in the extended community. Reports to the College Dean, with dotted lines to the Associate Dean of the School of Music, Theatre & Dance and Executive Director of Education Leadership Programs.

Essential Functions and Responsibilities:

  • Assist the Associate Dean (SMTD) and Executive Director of Educational Leadership Programs with the development of the annual budgets.
  • Supervise the processing of all purchase transactions, income, and maintenance of internal bookkeeping systems in SMTD and PPD. Reconcile expenses and purchase card transactions.
  • Maintain shadow budgets for all areas in SMTD and PPD.
  • Produce income, expense, and statistical reports as requested by the College Dean, Associate Dean, or Executive Director.
  • Assist with operations management in SMTD and PPD.
  • Serve as accounts payable and accounts receivable liaison with the Business Office and Provost Office.
  • Support the SMTD contingent faculty & PPD instructors, including the preparation and distribution of contracts and payroll preparation.
  • Assist with the development of budgets for new PPD programs.
  • Collaborate with staff in the operation of ticket pre-sales, including annual Christmas concert sales.
  • Prepare deposits and track SMTD ticket sales, fees, income, and related taxes and fees.
  • Serve as a representative on special projects and cross-functional campus committees.
  • Interpret and implement policies and procedures.
  • Research and propose appropriate policy and procedure revisions and produce reports.
  • Provide administrative support as needed by faculty and staff, including assistance with the development and tracking of performance and outreach project budgets.
  • Hire, supervise, and train SMTD student office assistants. Assist faculty members with the student hiring process as needed and review and approve monthly time sheets.
  • Manage unit score and music performance recording libraries.
  • Manage databases for SMTD projects (Christmas concerts, faculty-sponsored music workshops, festivals, and honor ensembles).
  • Assist with the coordination of facility and equipment needs, maintenance, and repair.
  • Perform other duties as assigned.

Required Qualifications:

  • Two years of job-related office experience. Education may substitute for some experience.
  • Experience in budget planning and analysis, event management, and/or office management.
  • High school diploma or GED.
  • Finalist applicants must satisfactorily complete a pre-employment background check.

Preferred Qualifications:

  • Bachelor's degree.
  • Work experience in a university setting.
  • Experience with, appreciation for, and an understanding of the arts and education.
