Ogden & Company, Inc. is looking to fill a Building Maintenance Coordinator position at one of our managed properties in the Milwaukee–Bay View area. The Building Maintenance Coordinator will be responsible for coordinating and overseeing the day-to-day maintenance needs of the property, with a strong focus on contractor coordination, preventative maintenance, property inspections, documentation, and communication.
The ideal candidate will have a general understanding of building systems and maintenance processes and will be comfortable coordinating contractors and service providers, monitoring ongoing work, identifying maintenance needs, and ensuring the property is maintained in a safe and orderly manner.
This is a full-time, 40-hour-per-week, onsite position, with 24/7 emergency on-call response responsibilities.
Essential Duties and Responsibilities
- Conduct daily inspections of all common areas of the building and grounds to identify maintenance, safety, security, and housekeeping needs.
- Coordinate and schedule routine and preventative maintenance services with contracted service providers.
- Coordinate contractors and vendors performing repairs, maintenance, inspections, and ongoing services at the property.
- Provide access to maintenance areas for vendors servicing common areas and owner equipment areas.
- Monitor contractor work to ensure scheduled services are completed and property standards are maintained.
- Assist with onsite coordination and procurement of bids for necessary repairs, capital projects, and ongoing services.
- Communicate maintenance needs and contractor recommendations to Property Management and the Association Board as appropriate.
- Maintain records of scheduled maintenance, completed work, inspections, service calls, and contractor activity.
- Create and maintain building maintenance manuals, service records, equipment information, and other property documentation.
- Maintain an organized preventative maintenance schedule for major building systems and equipment.
- Develop and maintain excellent working relationships with contractors, service providers, Property Management, and the BVT Board.
- Monitor building security and safety issues and coordinate appropriate response when issues arise.
- Assist landscaping and snow removal contractors with property access, coordination, and safety needs as necessary.
- Coordinate spring opening and winter closing of the pool.
- Maintain Certified Pool Operator (CPO) responsibilities, including pool testing twice daily from May through September, documentation, and chemical adjustments as needed.
- Coordinate pool-related maintenance and service needs with appropriate contractors.
- Oversee daily pool area conditions, including deck, chairs, grill area, and surrounding common areas, and coordinate cleaning or corrective services as needed.
- Monitor garbage and common area housekeeping needs and coordinate service as necessary.
- Supervise and coordinate daily/weekly cleaning of all common areas.
- Coordinate seasonal power washing of the garage in the spring and fall.
- Monitor building supply inventory and arrange for replenishment as needed.
- Provide professional, prompt, and courteous customer service and correspondence to homeowners regarding maintenance-related issues.
- Possess a basic understanding of electrical, HVAC, and plumbing systems sufficient to identify issues, communicate maintenance needs to contractors, and assist with coordinating appropriate repairs.
- Monitor building HVAC systems, including verification of boiler and chiller monitoring systems, and coordinate service when issues are identified.
- Perform basic troubleshooting and minor maintenance tasks when appropriate; however, the primary responsibility of the position is to identify, document, coordinate, and oversee maintenance needs rather than perform extensive hands-on repairs.
- Coordinate painting and common area maintenance projects, including hallways, woodwork, railings, doors, and exterior areas, with contractors or onsite personnel as appropriate.
- Perform other property maintenance coordination and administrative duties as assigned.
Qualifications and Skills
- General knowledge of commercial or multifamily building maintenance and building systems.
- Strong organizational and administrative skills with the ability to coordinate multiple vendors, projects, and service schedules.
- Ability to identify maintenance issues and determine when a qualified contractor or service provider is needed.
- Strong communication and customer service skills.
- Ability to maintain accurate records, schedules, manuals, and maintenance documentation.
- Ability to work independently while maintaining regular communication with Property Management and the Association Board.
- Ability to establish and maintain professional relationships with contractors, vendors, homeowners, and Association representatives.
- Certified Pool Operator (CPO) certification preferred. Training can be provided.
- Basic understanding of electrical, plumbing, HVAC, and other common building systems.
- Ability to respond to building emergencies and coordinate appropriate contractors or emergency services as needed.
- Valid driver's license preferred.
