Primary Purpose: Coordinates the daily operation of the central administration building to maintain safe, functional, and welcoming facilities. Manages shared conference room reservations and setup, coordinates facility services and reception schedules, and serves as the building contact for maintenance, custodial, security, and operational needs. Qualifications: Education/Certification: Must possess a high school diploma or hold a general education degree (GED) certificate and general clerical/secretarial experience.
Special Knowledge/Skills: Ability to organize schedules, maintain accurate records and inventories, and manage competing priorities with frequent interruptions. Ability to communicate effectively with employees, visitors, vendors, and service departments; exercise sound judgment; and maintain confidentiality. Ability to use office software, electronic calendars, work order systems, and shared meeting equipment; identify facility concerns; and follow established safety and emergency procedures. Major Responsibilities and Duties: Reviews requests for shared conference rooms in accordance with District procedures and established priorities. Maintains reservation calendars, and communicates approvals, changes, and room requirements to meeting organizers.
Confirms room layouts, accessibility needs, technology requirements, and setup times with meeting organizers. Coordinates custodial, maintenance, and technology support as needed.
Personally arranges and moves tables, chairs, phones, and other meeting equipment before scheduled meetings, using safe handling practices and assistance when needed. Ensures room layouts maintain clear exits and accessible routes.
Checks shared phones, displays, conferencing devices, and other meeting equipment before use; provides basic operating assistance and coordinates technical support for unresolved issues.

. Inspects meeting spaces after use, coordinates cleaning, returns furniture and equipment to designated arrangements, and reports damage or missing items.
Regularly inspects interior areas, including offices, conference rooms, restrooms, common areas, and storage spaces, to identify maintenance, cleanliness, accessibility, and safety concerns and enters work orders for needed corrective action.
Inspects the exterior site, including entrances, sidewalks, parking areas, lighting, landscaping, and drainage areas; reports unsafe conditions and enters work orders for needed corrective action.
Enters accurate work orders, maintains records of reported concerns, and coordinates with Maintenance on priorities, access, and scheduling. Follows up on outstanding requests and verifies that reported issues have been addressed.
Coordinates with Lead Custodians to address cleaning needs, spills, restocking, meeting-related services, and other building concerns promptly. Communicates recurring issues to the appropriate supervisor.
Locks and unlocks designated doors as needed throughout the day and for approved activities. Coordinates building opening, closing, and access schedules with appropriate departments.
Checks doors, locks, access controls, and other physical security equipment for proper operation within assigned responsibilities. Promptly reports deficiencies and coordinates repairs with Maintenance, District Police, School Safety and other appropriate departments.
Responds to building and life safety emergencies in accordance with established procedures and training. Promptly notifies emergency responders and appropriate District departments, assists with evacuation or other protective actions, and documents incidents as required.
Helps maintain building emergency contact information and procedures, coordinates assigned drills and safety communications, and reports obstructed exits, hazards, or concerns involving emergency equipment.
Receives, checks, inventories, stores, and distributes supplies, furnishings, and equipment serving the overall building. Verifies deliveries against receiving documentation and reports shortages or damage.
Maintains records of shared equipment, supplies, and assigned storage areas; monitors stock levels and submits replenishment or replacement requests through established purchasing procedures.
Coordinates authorized vendor and contractor access, service visits, deliveries, and building-related moves with affected departments while following visitor and security procedures.
Communicates scheduled maintenance, service interruptions, access changes, and other building matters to affected staff. Maintains current building contact lists, operating instructions, and service records.
Monitors shared spaces for proper use and reports recurring operational concerns.
Provides occasional evening and weekend support for approved meetings and activities and responds to building emergencies outside normal work hours as assigned. Killeen ISD

Performs other duties as assigned by the Director for Maintenance.

Lifting: Regular moderate lifting and carrying (up to 44 pounds); occasional heavy lifting and carrying (45 pounds and over). Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Occasional district-wide travel to multiple campuses, as assigned. The noise level in the work environment is usually moderate.
