The Bus Controller Coordinator supports the planning and live coordination of bus and motorcoach movements during event transport operations in Kansas City.
This role assists with the real-time management of vehicle staging, dispatching, and loading activities at designated venues or transport locations. Working closely with staging supervisors, dispatch teams, and drivers, the Bus Controller Coordinator helps ensure that buses are correctly positioned, safely managed, and dispatched according to operational schedules.
The position requires strong situational awareness, effective communication, and the ability to operate efficiently in fast-paced live event environments.

Duties: Bus Staging Coordination
- Assist in organizing and positioning buses within staging areas according to operational dispatch schedules.
Vehicle Guidance
- Guide buses and motorcoaches into designated lanes or load zones using hand signals and radio communication.
Operational Monitoring
- Maintain constant awareness of vehicle movement, pedestrian activity, and safety conditions within the staging area.
Communication & Dispatch Support
- Relay real-time information between bus drivers, staging leads, dispatch teams, and operational supervisors.
Vehicle Verification
- Verify bus identification numbers, trip sheets, and route assignments to ensure proper departure sequencing.
Accessibility Support
- Assist with staging and prioritizing ADA or accessibility transport vehicles.
Loading Zone Operations
- Support bus loading and unloading operations by directing vehicle movement and coordinating passenger flow.
Operational Recordkeeping
- Record key operational data such as arrival times, idle durations, staging capacity, and dispatch times.
Incident Reporting
- Report operational issues, delays, or safety concerns to the Bus Staging Supervisor or operational leadership.
Operational Coordination
- Attend operational meetings and maintain accurate documentation within company systems and shared files.
Flexible Operations Support
- Support extended operational hours during peak event periods, adapting to changing operational requirements.
WORK ENVIRONMENT
- Field-based operational role located at bus staging areas, load zones, or transport hubs.
- Fast-paced environment with high volumes of vehicles and spectators.
- Long shifts during match days, operational tests, and tournament periods.
- Required to wear high-visibility PPE and follow safety protocols.

PROFESSIONAL CONDUCT
- Be professional in meetings, operational briefings, and coordination forums.
- Maintain clear communication with operational teams, drivers, and stakeholders.
- Ensure accurate documentation and timely responses to operational communications.
- Demonstrate professionalism and accountability during high-pressure event operations.
SKILLS & KNOWLEDGE
- Basic understanding of transport logistics, motorcoach operations, and fleet movement coordination.
- Strong communication skills for coordinating with drivers, supervisors, and operational teams.
- Ability to give and interpret non-verbal hand signal instructions to vehicle operators.
- Proficiency in Microsoft 365 applications (Word, Excel, Outlook, Teams).
- Awareness of safety procedures in live vehicle and pedestrian environments.
- Organized and attentive to detail in high-pressure operational settings.
- Ability to remain calm and focused during fast-paced operations.
- Team-oriented approach with flexibility to adapt to operational changes.
- Familiarity with Kansas City transport routes and venue locations is advantageous.
QUALIFICATIONS & EXPERIENCE
- Must be 18 years of age or older.
- Available to work flexible hours including evenings, weekends, and match days.
- Physically able to stand and walk for extended periods and move lightweight barriers or signage when required.
- Fluency in English is required; multilingual or bilingual ability is considered an advantage.
- Experience in transport operations, logistics, or event operations environments is beneficial.
