About the Role
We are looking for a motivated and enthusiastic Business Administration Apprentice to join our Business Support team. This is an exciting opportunity to gain hands on experience across a variety of business functions while completing the Business Administration Level 3 Apprenticeship Standard.
As an apprentice, you will rotate through different areas of the organisation, developing essential skills in administration, customer service, communication, and stakeholder support. You will play a key role in ensuring the smooth running of Harbour House, acting as a first point of contact for visitors, colleagues, and external partners.
This apprenticeship will be for a duration of 15-months plus end point assessment.
Key Responsibilities
- Switchboard Support - Answer and direct internal and external calls promptly, professionally, and with excellent customer service
- Front of House Duties - Meet and greet visitors and employees, ensuring all security procedures are followed
- Administrative Processes - Follow Central Admin procedures and identify opportunities for improvement
- Post & Parcel Handling - Assist with incoming/outgoing mail, parcel coordination, and distribution across the Port
- Event Coordination - Support the planning of internal events, including pension presentations, catering, and travel arrangements
- Data Processing - Record, manage, and present information in various formats while ensuring compliance with relevant legislation
- General Administrative Support - Assist with record keeping, bulk mailings, and ad hoc tasks for internal stakeholders
- Lost & Found Management - Log, store, and manage lost/found property, ensuring accurate records and effective handling of ownership claims
- Health & Safety Compliance - Support security and safety procedures including CCTV, fire alarms, and incident reporting
- IT & Maintenance Reporting - Log new cases, monitor progress, and ensure timely resolution
- Key Register Management - Issue keys and maintain accurate records
- Support for Work Placements - Provide guidance to students or trainees on placement
About You
Required skills and qualifications
- GCSEs (or equivalent) in Maths and English at Grade 4 or above, or demonstrable competency.
- Confident using Microsoft Office applications.
- Previous office experience is helpful but not essential.
- A driving licence is desirable but not required
- Excellent customer service skills.
- Able to remain calm and professional under pressure.
- Strong verbal communication skills, both face to face and over the phone.
- Understanding of business context and stakeholder needs.
- Problem solving mindset with an eye for improvement.
