We're seeking an Executive Assistant to support the Business Affairs organization, providing high-level administrative and operational support to multiple senior executives. This role is ideal for a highly organized, proactive, and resourceful professional who thrives in a dynamic environment and enjoys partnering with people across all levels of an organization. We're looking for a critical thinker and collaborative team player who can quickly develop a deep understanding of the Business Affairs organization, including its operations, culture, policies, and processes. You'll be expected to operate with a high degree of independence, anticipate needs, identify opportunities to improve processes, and proactively resolve issues before they become obstacles. This role requires exceptional organizational skills and the ability to manage multiple priorities in a fast-moving, deadline-driven environment. You will interact regularly with executives, internal teams, and external partners, requiring the highest level of professionalism and discretion when handling confidential and sensitive information. You will manage complex and dynamic executive calendars, coordinate meetings and videoconferences across multiple time zones, arrange domestic and international travel, and prepare and reconcile executive expense reports. You'll also maintain organized electronic and physical files and ensure information is readily accessible and accurately maintained. Beyond core administrative responsibilities, you'll support the team by preparing and maintaining organizational and informational materials, reviewing and proofreading documents, synthesizing information, creating presentations and correspondence, and helping executives stay focused on the highest-priority business objectives. Success in this role requires someone who is highly proactive, intellectually curious, exceptionally organized, and comfortable operating with ambiguity. You should be someone who takes ownership, exercises sound judgment, communicates effectively, and consistently looks for ways to make the team more efficient and effective. Provide high-level administrative and operational support to multiple Business Affairs executives. Manage complex, dynamic calendars and coordinate meetings across multiple teams, time zones, and priorities. Anticipate scheduling conflicts and proactively identify solutions to ensure executives remain focused on critical business priorities. Coordinate domestic and international travel, including detailed itineraries and last-minute changes. Organize meetings, videoconferences, conference calls, and executive engagements with internal and external partners. Prepare, submit, and track executive expense reports. Handle confidential, sensitive, and business-critical information with exceptional discretion and judgment. Maintain highly organized electronic and physical files and ensure information is accurate, current, and easily accessible. Prepare, maintain, and update informational charts, reports, presentations, and other business materials. Review, proofread, summarize, and synthesize documents and information for executive audiences. Draft correspondence, presentations, and other communications with a high degree of accuracy and professionalism. Partner effectively with cross-functional teams and external stakeholders at all levels of the organization. Identify opportunities to improve administrative processes, increase efficiency, and enhance the overall effectiveness of the team. Take initiative to resolve issues, manage shifting priorities, and support special projects as needed. 1+ year of experience supporting executives in the entertainment, media, technology, legal, or related industry. Demonstrated ability to handle highly confidential and sensitive information with discretion and professionalism. Exceptional verbal, written, and interpersonal communication skills. Strong organizational skills and exceptional attention to detail. Demonstrated ability to prioritize and manage multiple, competing demands in a fast-paced environment. Highly proactive, resourceful, and adaptable, with the ability to anticipate needs and independently drive work forward. Strong judgment and problem-solving skills, with the ability to navigate ambiguity and make thoughtful decisions under pressure. Ability to collaborate effectively with individuals at all levels of an organization. Bachelor's degree or equivalent professional experience. 2+ years of experience supporting executives within a Business Affairs department, talent agency, entertainment company, media organization, or entertainment law firm. Experience working with contracts, legal documents, or business affairs materials, with strong reading comprehension and the ability to identify and distill key terms and information. Demonstrated passion for the television, film, digital media, streaming, or broader entertainment industry. Familiarity with business affairs, content distribution, licensing, production, or entertainment-related agreements. Juris Doctor (J.D.) and admission to the California State Bar. Experience working in a highly matrixed organization with multiple cross-functional stakeholders.
