Job Title: Business Analyst | Business Operations Specialist

The team, a high-scale marketing operations organization, manages large-scale event execution, email marketing campaigns, website operations, lead management, and content operations across a complex global environment. This role serves as a Business Operations Specialist with a strong Business Manager/Chief of Staff focus, supporting leadership team operations and the Rhythm of Business (RoB). The successful candidate will drive operational excellence through executive communications, leadership meeting management, business reviews, reporting, budget coordination, and strategic transformation initiatives. This is a highly visible role supporting one of the largest marketing operations organizations in the world, offering significant exposure to senior leadership and global business operations.
Required Skills & Qualifications
Education
- Bachelor's degree in Business Management, Economics, Finance, Accounting, or a related discipline required.
Experience
- 8+ years of experience in Business Operations, Business Management, Program Management, Strategy Operations, Chief of Staff, Consulting, or related roles.
- Experience supporting large-scale, globally distributed organizations.
- Experience operating effectively within matrixed corporate environments.
- Demonstrated success supporting senior leadership teams and executive stakeholders.

Key Responsibilities
Leadership & Rhythm of Business Management
- Own and manage the master Rhythm of Business (RoB) calendar, forum inventory, and Standard Meeting Charters.
- Coordinate leadership team meetings, agendas, action items, and follow-up activities.
- Maintain Leadership Team (LT) Staff Meeting agendas and ensure topics are categorized by Decision, Risk, Help, or FYI.
- Drive meeting effectiveness through structured governance and action tracking.
- Prepare and distribute weekly leadership memos and operational updates.
Strategic Business Operations
- Support quarterly business reviews, executive planning cycles, and organizational reviews.
- Own pre-operational excellence narrative alignment activities and leadership readiness planning.
- Assist with transformation initiatives and strategic operational programs.
- Develop executive-ready reports, presentations, status updates, and business summaries.
- Maintain decision logs and ensure accountability for action ownership and status updates.
Financial & Budget Management
- Partner with budget owners to prepare Quarterly Budget Reviews.
- Review project budgets, expenditures, and financial tracking reports.
- Identify potential budget risks and provide recommendations for corrective action.
- Support contract reviews, cost proposals, and financial compliance activities.
Program & Process Management
- Review and maintain business process documentation.
- Monitor project goals, milestones, deadlines, and performance metrics.
- Support stakeholder reviews and ensure closure of identified action items.
- Track and report progress against operational commitments and transformation objectives.
Cross-Functional Collaboration
- Partner with leadership, business stakeholders, project teams, auditors, vendors, and consulting partners.
- Support a globally distributed team and collaborate across multiple business functions.
- Contribute to ad hoc strategic projects and organizational priorities as needed.
