    Job Description

Are you organized, detail-oriented, and someone who enjoys figuring things out and keeping things moving? Do you like having a variety of responsibilities rather than doing the same thing every day?

Brandeis University is looking for a Business Coordinator to join the School of Arts, Humanities, and Culture. This is a great opportunity for someone early in their career who wants to build experience in finance, administration, operations, and higher education while working with faculty, staff, students, and colleagues across the University.

As a Business Coordinator, you'll be an important resource for the department and will help make sure the day-to-day operations run smoothly. You'll work with budgets and financial transactions, help faculty and staff navigate administrative processes, coordinate student hiring, and provide general office and facilities support.

The salary range for the position is $47,400-$57,000.

    What You'll Do

    Support budgets and financial operations

    • Help maintain budget tracking spreadsheets and run reports in Workday.

    • Answer questions from faculty and administrators about budget balances and spending.

    • Process orders and other transactions through Coupa.

    • Assist with P-card reconciliations, expense reports, and year-end financial activities.

    • Help determine the appropriate funding source for expenses and make sure accounts are accurate and up to date.

    Support student employees

    • Serve as a primary contact for hourly student hiring.

    • Coordinate student hiring, costing allocation changes, terminations, and related processes.

    Keep day-to-day operations running

    • Coordinate office supplies, mail, packages, checks, and mailboxes.

    • Serve as a point of contact for facilities-related issues.

    • Work with vendors and campus offices to resolve questions and problems.

    • Provide financial and administrative support for lectures, seminars, and other departmental activities, including processing honoraria, invoices, and paperwork.

Be a resource to the community
You'll interact with a wide range of faculty, staff, students, vendors, and campus partners. The ideal candidate is someone who is approachable and professional, can work independently, and knows when to ask questions or seek guidance.

    What We're Looking For

We're looking for someone who is:

    • Organized and detail-oriented – You keep track of the details and make sure things get done correctly.

    • Resourceful – You know how to look for answers and troubleshoot problems, but you also recognize when it's time to ask for help.

    • A quick learner – You're comfortable learning new software and systems and aren't afraid to explore and figure things out.

    • Reliable – When you take ownership of something, you follow through and see it to completion.

    • Adaptable – You can shift priorities and stay calm when unexpected questions or problems come up.

    • A strong communicator – You can work effectively with people at different levels and from different backgrounds.

    • Comfortable with technology – Experience with Microsoft Office, Google Workspace, Workday, Coupa, or similar systems is helpful.

A high school diploma is required, and a Bachelor's degree is strongly preferred, along with 1-3 years of related work experience. We are also interested in candidates who have transferable experience and are excited to grow in a university environment.

    Why This Role?

This position offers the opportunity to develop a broad range of skills rather than specializing in just one area. You'll gain hands-on experience with budget administration, financial processing, student employment, office operations, and customer service, while building relationships across a vibrant university community.

If you're someone who enjoys being the person others can count on, likes learning new things, and takes pride in keeping the details organized, we'd love to hear from you.

This is primarily an in-person position based in Waltham, MA, with flexibility for hybrid work after an initial training period.

    How to Apply

Please submit a resume and cover letter describing your qualifications and interest in the position through Workday.
