Job Overview:
FirstService Project Management (FSPM) provides project management and capital planning services to cooperative, condominium, and residential communities throughout the New York metropolitan area, helping boards and property managers navigate regulatory compliance, capital repairs, building system replacements, and major construction initiatives.
The Business Development Representative is responsible for identifying, developing, and advancing capital project opportunities within the FirstService Residential portfolio and the external marketplace. This role includes building and maintaining an organized pipeline, driving consistent outreach efforts, securing business development meetings, and delivering qualified opportunities to FSPM leadership.
Responsibilities:
• Identify buildings likely to require project management support using property data, regulatory requirements, LL11/FISP filing cycles, inspection requirements, repair deadlines, and internal relationships.
• Track known and anticipated capital needs, including elevators, HVAC systems, roofs, garages, façades, plumbing risers, waterproofing, interior renovations, and building-system replacements.
• Maintain a master database of FirstService properties, capital needs, deadlines, and FSPM engagement status.
• Utilize internal systems, public records, and meeting minutes to identify and prioritize project opportunities.
• Maintain accurate and complete CRM and business intelligence records, including next steps, responsible parties, and follow-up dates for every opportunity.
• Conduct consistent outreach through phone, email, and approved communication tools to property managers, team leaders, and board members.
• Coordinate with property managers before contacting boards directly.
• Secure educational and business development meetings for FSPM leadership, positioning FSPM as a resource for compliance guidance, project planning, and risk reduction.
• Maintain persistent and scheduled follow-up activities until opportunities are qualified, advanced, deferred, or closed.
• Re-engage deferred opportunities at established intervals.
• Qualify opportunities based on project type, timing, scope, board readiness, consultant involvement, and funding considerations.
• Prioritize opportunities that do not have existing project management support.
• Escalate high-value, time-sensitive, or high-risk opportunities to FSPM leadership.
• Prepare concise opportunity briefs, including known building conditions, project history, and regulatory deadlines before meetings.
• Transition qualified opportunities to the appropriate FSPM executive or representative.
• Advance opportunities through the sales pipeline from identification through meeting, proposal, award, deferral, or loss.
• Maintain current pipeline stages, opportunity values, probability metrics, and anticipated timelines.
• Coordinate with FSPM leadership regarding client engagement, proposal follow-up, and recurring client concerns.
• Partner with Marketing to develop outreach campaigns and business development initiatives.
• Monitor and report activity levels, conversion metrics, and portfolio penetration trends.
• Support external prospecting efforts as the internal FirstService portfolio program continues to expand.
• Meet regularly with FSPM, Business Development, Marketing, Compliance, and Property Management leadership teams to coordinate opportunities and strategic priorities.
• Coordinate with portfolio managers, team leaders, and senior leaders to identify and advance project opportunities.
• Maintain continuity of opportunity information through property management personnel changes.
• Follow established standard operating procedures for outreach, qualification, escalation, and handoff processes.
• Practice and adhere to FirstService Residential Global Service Standards.
• Conduct business at all times with the highest standards of personal, professional, and ethical conduct.
• Maintain regular and punctual attendance at required meetings, training sessions, and related business activities.
• Participate in meetings and work groups to coordinate activities, communicate and resolve issues, and obtain approvals.
• Follow all company policies, safety requirements, and standard operating procedures.
• Perform additional projects, tasks, and related duties as assigned.
Skills & Qualifications:
• Bachelor's degree in Business, Real Estate, Construction Management, or a related field preferred.
• Two or more years of experience in business development, property management, real estate, or construction services preferred.
• Experience with CRM platforms such as HubSpot, Salesforce, Dynamics, or similar systems preferred.
• Experience managing databases, sales pipelines, and portfolio-level opportunity tracking preferred.
• Strong organizational skills with the ability to manage a large volume of opportunities, priorities, deadlines, and follow-up activities.
• Persistent, disciplined, and professional approach to outreach and relationship management.
• Ability to build credibility and develop relationships with property managers, board members, executives, and prospective clients.
• Strong research, analytical, written, and verbal communication skills.
• Ability to gather information, prioritize opportunities, and communicate effectively across stakeholder groups.
• Self-motivated and accountable, with the ability to work independently and exercise sound judgment.
• Ability to communicate effectively about capital projects and building compliance topics without serving as the technical subject matter expert.
• Strong collaboration and relationship-building skills with internal and external stakeholders.
• Ability to manage and prioritize multiple projects simultaneously in a fast-paced environment.
• General property management, capital project, or construction knowledge preferred but not required.

Compensation:
$28.85 - $31.25 per hour.
