The Business Intake & Conflicts Manager is responsible for leading the firm's New Business Intake/Conflicts department, ensuring the efficient, accurate, and compliant onboarding of new clients and matters and lateral attorneys. This role combines strategic leadership with hands-on oversight of conflicts analysis, research, and intake operations. This position plays a critical role in safeguarding the firm and ensuring database integrity while supporting business growth through effective intake and conflicts resolution processes.

Position responsibilities include:

  • Lead, supervise, and develop a team of Conflicts and New Business Intake professionals
  • Manage daily workflow, including task assignments, queue monitoring, and escalations
  • Establish and track service levels, turnaround times, and quality standards
  • Oversee hiring, onboarding, training, and performance management
  • Oversee and conduct conflict of interest searches for new business, lateral hires, and matter updates
  • Ensure compliance with applicable rules of professional conduct and firm policies
  • Escalate high-risk or sensitive matters to the Office of General Counsel or its designee
  • Oversee the implementation and monitoring of ethical walls
  • Oversee the new client and matter intake process, ensuring completeness, accuracy, and compliance
  • Review intake submissions for adherence to firm risk management requirements (e.g., engagement terms, retainers)
  • Ensure the integrity and accuracy of client and matter data within firm systems
  • Partner with Finance, Billing, and other departments to ensure timely matter opening and alignment with billing processes
  • Respond to attorney and staff inquiries regarding conflicts, intake, and matter maintenance
  • Serve as a subject matter expert for Intapp Conflicts and Intake (or equivalent systems), including workflow configuration and administration
  • Maintain database quality and oversee system permissions, roles, and approval workflows
  • Develop and deliver reporting on workflow, risk trends, and operational performance
  • Partner with firm leadership to develop and implement policies, procedures, and best practices
  • Identify and implement workflow improvements to enhance efficiency and accuracy
  • Lead or support strategic initiatives, including lateral integrations, audits, and system enhancements
  • Promote consistency across offices and practice groups in conflicts and intake processes

Qualified applicants will have:

  • Bachelor's degree required; JD or advanced degree preferred
  • Minimum 5 years of experience in law firm conflicts, intake, or related risk management functions
  • Minimum 23 years of supervisory or management experience in a law firm environment
  • Strong knowledge of professional responsibility rules and conflicts of interest analysis
  • Experience handling lateral conflicts submissions
  • Experience with Intapp Conflicts and Intake strongly preferred
  • Familiarity with NetDocs, Aderant, or similar systems preferred
  • Experience with legal and corporate research tools (e.g. D&B)
  • Leadership and team development
  • Strong analytical and risk assessment capabilities
  • Exceptional attention to detail and commitment to data quality
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to manage time, prioritize workload effectively, and handle stressful situations.
  • Ability to exercise discretion and preserve confidentiality.
  • Strong organizational skills, including data collection and record keeping.
  • Willingness to learn and utilize new technologies.
  • Capable of working independently and/or with minimal supervision.
  • Ability to establish and maintain effective working relationships with firm attorneys and staff.
  • Excellent communication skills, including telephone and email etiquette, ability to follow instructions (both printed and oral), and ability to follow up with others as needed to complete tasks in a timely fashion.
  • Strong initiative to improve departmental processes via more efficient procedures and/or use of technology.
