Reporting to the Manager of Outpatient Therapy, this position partners with providers, therapy leaders, and administrative staff to ensure efficient operations, exceptional patient experience, regulatory compliance, and achievement of departmental goals.This role focuses on the oversight of non-clinical operations, patient access, scheduling, administrative workflows, and program support functions across outpatient rehabilitation and neuropsychology services. Essential ResponsibilitiesOperational ManagementManage the day-to-day administrative operations of outpatient rehabilitation clinics and neuropsychology services.Coordinate scheduling, registration, referral management, insurance authorization workflows, and patient access processes.Monitor operational performance and financial metrics, patient volumes, and service utilization.Identify and implement process improvements to enhance efficiency and patient experience.Support the development and implementation of departmental policies and procedures.Staff LeadershipSupervise administrative members.Participate in recruitment, onboarding, training, coaching, and performance management activities for assigned staff.Foster a culture of accountability, teamwork, customer service, and continuous improvement.Support employee engagement and professional development initiatives.Patient ExperienceEnsure timely scheduling and coordination of services for patients and referral sources.Address patient concerns and service recovery issues in collaboration with leadership.Monitor patient satisfaction feedback and implement improvement initiatives.Neuropsychology and Clinic Operations SupportCoordinate administrative support functions for neuropsychology providers and specialty rehabilitation clinics.Facilitate referral intake, scheduling, communication, and workflow management.Collaborate with interdisciplinary team members to ensure efficient coordination of care.Financial and Administrative ResponsibilitiesAssist the Manager of Therapy Services with budget monitoring and operational performance tracking.Monitor productivity, patient volumes, and key operational indicators.Support departmental purchasing and administrative vendor relationships.Ensure accurate reporting and completion of operational documentation.Compliance and QualityEnsure compliance with hospital policies, HIPAA regulations, accreditation standards, and applicable regulatory requirements.Maintain accurate operational records and reporting.Participate in quality improvement and performance improvement initiatives. Reporting RelationshipReports To: Manager of Outpatient Therapy QualificationsEducationBachelor's degree in Healthcare Administration, Business Administration, Health Services Management, or a related field preferred or at least 2 years of work experience in like role. Experience1-3 years of healthcare operations, clinic management, outpatient services, or related leadership experience required.Experience in outpatient rehabilitation, ambulatory care, physician practice operations, behavioral health, or specialty clinic settings preferred.Prior experience leading administrative or patient access staff preferred.Knowledge, Skills, and AbilitiesKnowledge of outpatient healthcare operations and patient access workflows.Strong organizational, customer service, and communication skills.Ability to analyze operational data and identify improvement opportunities.Proficiency in Microsoft Office and electronic medical record systems.Ability to manage multiple priorities in a fast-paced healthcare environment. Compensation$65,000-$85,000- annuallyTarget hiring range: $70,000 - $80,000 annually, depending on education, relevant healthcare operations experience, and leadership background. This reflects a position with administrative oversight responsibilities that reports to a Director and does not directly manage clinical providers or revenue cycle/billing functions.
