Business Office Assistant / SNF Biller - Full-TimeOakwood Gardens Care Center
Pay Range: $20.00-$25.00 per hour, based on experience
Prior Skilled Nursing Billing Experience Is Required
Oakwood Gardens Care Center is seeking an experienced, dependable, and detail-oriented Full-Time Business Office Assistant/SNF Biller to join our team.
This is not an entry-level billing position. Candidates must have previous billing experience within a skilled nursing facility and be familiar with SNF payer sources, billing cycles, claims processing, accounts receivable, and census-related documentation.
The Business Office Assistant/SNF Biller will work closely with the Business Office Manager and facility leadership to support accurate, timely, and compliant billing and administrative operations.
Essential Duties and Responsibilities
- Assist with daily skilled nursing billing, accounts-receivable, accounting, and business office functions.
- Support billing for Medicare, Medi-Cal, managed care, private insurance, and resident or private-pay accounts.
- Verify insurance coverage, authorizations, eligibility, payer information, and required supporting documentation.
- Enter and reconcile resident census, ancillary charges, cash receipts, adjustments, and billing information.
- Prepare, review, and submit claims accurately and within required timeframes.
- Identify and correct billing errors, rejected claims, denials, and missing documentation.
- Track unpaid claims and outstanding balances and follow up with insurance companies and other payers.
- Post payments, adjustments, deposits, and cash receipts according to established procedures.
- Maintain accurate resident financial files, payer records, authorizations, and supporting documentation.
- Assist with month-end billing processes, account reconciliation, and accounts-receivable reports.
- Communicate professionally with residents, responsible parties, insurance representatives, and facility departments regarding account information.
- Follow established billing procedures, compliance standards, and facility policies.
- Prepare reports, spreadsheets, correspondence, and other business office documents.
- Support the Business Office Manager, Administrator, and Director of Nursing with administrative projects.
- Record meeting minutes and maintain organized files.
- Assist with payroll and human resources functions as assigned.
- Maintain office supply inventory and ensure necessary equipment is available.
- Develop positive working relationships with employees across all departments.
- Protect resident privacy and maintain the confidentiality of financial, employment, and health information.
- Promptly report suspected or known confidentiality violations.
- Perform additional duties as assigned.
Required Qualifications- High school diploma or GED required.
- Previous skilled nursing facility billing experience required.
- Working knowledge of Medicare, Medi-Cal, managed care, private insurance, private-pay accounts, and SNF billing procedures required.
- Experience preparing claims, researching denials, correcting billing issues, posting payments, and following up on accounts receivable required.
- Familiarity with resident census information, payer authorizations, ancillary charges, and supporting billing documentation required.
- Ability to work accurately within established billing deadlines and monthly close schedules.
Additional Qualifications- Experience with PointClickCare or another skilled nursing billing and electronic health record system strongly preferred.
- Proficiency in Microsoft Office; strong Excel skills preferred.
- Ability to type at least 40 words per minute.
- Ability to use a 10-key calculator and standard office equipment.
- Strong attention to detail, accuracy, organization, and time-management skills.
- Excellent written and verbal communication skills.
- Ability to maintain professionalism and confidentiality.
- Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment.
- Dependable attendance and a cooperative, team-oriented attitude.
Physical RequirementsThis position requires regular sitting, standing, walking, speaking, hearing, reading, and prolonged computer use. Frequent use of office equipment—including telephones, copiers, scanners, fax machines, and calculators—is required. The employee may occasionally lift or move up to 25 pounds and may assist during emergency evacuations when necessary.
