Business Office Manager

Position Summary

St. Francis Healthcare is seeking an experienced and detail-oriented Business Office Manager to oversee and support the daily operations of our business office. This leadership role is responsible for maintaining efficient business office systems, supervising staff, and ensuring accurate billing, collections, resident account management, and regulatory compliance.

The ideal candidate will possess strong organizational, financial, and supervisory skills, along with experience in healthcare administration, skilled nursing, long-term care, Medi-Cal, or Medicaid processes.

Essential Duties and Responsibilities

  • Obtain managed care and Medi-Cal/Medicaid authorizations, including bed hold authorizations.

  • Assist with management of resident trust funds, including preparing, printing, and distributing monthly statements.

  • Supervise business office staff and provide coaching, performance management, and disciplinary action when appropriate.

  • Maintain facility census records and report resident status changes accurately and timely.

  • Attend daily stand-up meetings and other operational meetings as requested by the Administrator.

  • Assist residents and families with Medi-Cal/Medicaid application processes.

  • Prepare and submit TARS documentation as needed.

  • Track and manage Medi-Cal/Medicaid redeterminations to ensure continued eligibility and coverage.

  • Participate in billing and payment processes, including preparing bank deposits and maintaining accurate financial records.

  • Conduct collection activities related to outstanding balances and bad debts.

  • Schedule and assign work to business office employees and follow up to ensure completion of operational requirements.

  • Maintain compliance with company policies, regulatory requirements, and industry best practices.

  • Collaborate with facility leadership to support operational and financial objectives.

Qualifications

  • Previous experience in healthcare business office management, skilled nursing, long-term care, or a related healthcare setting preferred.

  • Knowledge of Medi-Cal, Medicaid, managed care authorizations, billing, collections, and resident trust accounts.

  • Strong leadership and staff supervision experience.

  • Excellent organizational, communication, and problem-solving skills.

  • Proficiency with healthcare billing systems and Microsoft Office applications.

  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
