Position Overview
Primary Purpose of Position
The Business Officer serves as a strategic and operational leader responsible for the comprehensive management of financial, administrative, and business functions within the department. This role ensures alignment of fiscal resources, operational systems, and human capital with institutional priorities, advancing a high-performing R1 environment centered on student success, operational excellence, and data-informed decision-making.
This position directly supports the Division of Student Affairs' strategic priorities to foster student wellbeing and thriving; enhance student engagement, learning, and success; develop excellent educator-scholars; and strengthen divisional efficiency, effectiveness, and impact.
Primary Function of Organizational Unit
The Student Center serves as the principal site for student programming and offers office accommodations for the Office of Leadership and Civic Engagement, Student Activities, UPD Community Affairs, the University Event Center, Esports, along with Dining and Retail. In addition, it offers an array of services, conveniences and amenities for students, faculty, staff, alumni and guests.
Work Hours 8:00 am to 5:00 pm, Monday -Friday Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site)
Key Responsibilities and Related Competencies
Required Competency Business Administration Duties
- Works cooperatively with the management team and other staff members in carrying out the major activities and programs as necessary and consistent with the mission, goals and objectives of the University and division.
- Interacts with all levels of the University administration, make decisions and provide working solutions as needed to support, address, and/or resolve facility issues.
- Public contact in the Student Center is a critical element based upon the various publics served; namely: students, administrators, vendors, alumni and the general public. Primarily in contact with public for the receipt of funds for rental of Student Center and various facilities.
- Establishes and maintains an appropriate set of electronic/office files as required by ongoing Student Center activity.
- Possesses a strong working knowledge of Banner Finance, Aggie Mart, People Admin , Excel, PowerPoint, and CMS'.
Required Competency Human Resources Management Duties
- Implements special assignments as designated by the Student Center Executive Director.
- Uses time well in carrying-out responsibilities and scheduled work so that tasks are completed in a timely manner
- Understands objectives and priorities related to activities and tasks in order to follow plans and scheduled projects
- Develops and submits completed PMP according to Human Resources guidelines and procedures.
- Monitors and approves leave reports monthly for staff that reports to the position.
- Manages the PMP to monitor staff performance and accountability in accordance to the expectations outlined in the staff's PMP.
Required Competency Communication Duties
- Responsible for the preparation of letters, forms, reports, PowerPoint presentations and brochures.
- Initiates general memos/letters: edits, incorporate the administrator's personal style, proofreads and recommends the format for a variety of communications.
- Prepares key reports on a recurring basis including: Annual Report, Bi-Weekly Reports to Executive Director, Revenue Reports from facility rentals.
- Interfaces with Human Resources, Payroll Office, Accounts Payable, Budget Office, Purchasing and other administrative offices regarding accounts and personnel matters.
- Establishes contracts related to vendors and the execution of those contracts.
Required Competency Information Analysis and Decision Making Duties
- Monitors departmental and personnel file system in alpha and numerical order via manual and electronic filing system and makes recommendations for sound office practices.
- Arranges and purges files according to office standard especially for items subject to audit (equipment and supplies).
- Coordinates and organizes finance and personnel files.
- Maintains personnel action files, recurring events and program data on behalf of the Executive Director.
Required Competency Financial Management Duties
- Manages and monitors an auxiliary budget through accounting and record keeping procedures using uniform and standard University procedures. The approximate total managed and monitored is 4.6 million dollars.
- Manages the overall budget for the administrator by reporting expenditures and allocation of funds and sources on a regular basis.
- Forecasts long-term, short-term needs for the facilities operational budget for building upkeep and special projects.
- Makes revenue deposits for rentals.
- Reviews all project purchase requests.
- Provides financial report to support funding needs.
