Business Operations Lead
ICONMA is seeking a resourceful Business Operations Lead to help streamline the operating machine across the organization. This role works cross-functionally across recruiting, delivery, onboarding, compliance, payroll, accounting, MSP/VMS, and client operations, identifying inefficiencies and helping drive process improvements. The ideal candidate brings a background in staffing operations, thrives wearing multiple hats, is driven to take ownership of initiatives, and actively leverages AI tools to work smarter, move faster, and deliver higher-quality output every day.
KEY RESPONSIBILITIES
Cross-Functional Business Operations
  • Partner with recruiting, delivery, onboarding, compliance, payroll, accounting, and client operations teams to identify inefficiencies and streamline day-to-day workflows.
  • Document and improve standard operating procedures across departments to build a more consistent, scalable operating model.
  • Pull and analyze reports from various BI tools to surface trends and support data-driven decision-making across teams.
  • Support ad hoc projects and initiatives spanning workforce analytics, process improvement, and cross-departmental coordination.
Recruiting, Delivery & Onboarding Support
  • Assist with recruiting operational workflows including data entry, process documentation, and internal coordination.
  • Support onboarding processes for new hires and consultants, helping ensure a smooth handoff between recruiting, delivery, and client operations.
  • Work within Vendor Management Systems (VMS) and MSP platforms to support recruiting and delivery teams.
Compliance Coordination
  • Support compliance-related documentation, tracking, and process adherence across the organization.
  • Help maintain clean, accurate data and documentation across systems to support audits and compliance reviews.
MSP/VMS & Client Operations
  • Support client operations by coordinating across MSP/VMS platforms, helping ensure smooth submission, onboarding, and reporting processes.
Marketing & Communications Support (~5 hours/week)
  • Manage and execute the monthly Social Media Content Calendar across LinkedIn, Instagram, and other active channels.
  • Design and publish weekly Hot Jobs graphics, holiday campaigns, and employee recognition content.
  • Support the monthly corporate newsletter and other internal and external branded materials as needed.
  • Collaborate with HR and leadership on workforce communication and engagement initiatives.
  • Create anniversary certificates, award recognition materials, and culture-focused visuals.
  • Design internal assets such as digital backgrounds, announcement graphics, and event materials.
  • Prepare swag, and material for events, including conferences, career fairs, and client drop offs.
AI-Powered Workflow & Productivity
  • Actively integrate Claude and other AI tools into daily workflows to accelerate research, drafting, and data summarization across departments.
  • Use AI-assisted tools to streamline repetitive tasks such as report summaries, documentation, and first-draft copy.
  • Help identify and implement new AI-driven efficiencies across teams as tools and capabilities evolve.
PREFERRED SKILLS & EXPERIENCE
  • 5+ years of experience in staffing, staffing operations, or a related industry, strongly preferred.
  • Exposure to recruiting, delivery, onboarding, compliance, payroll, accounting, or client operations functions within a staffing or professional services environment.
  • Familiarity with VMS/MSP platforms (Beeline, Fieldglass, Coupa, etc.) and/or BI/reporting tools (Power BI, Tableau, or similar).
  • Demonstrated experience using AI tools (Claude, ChatGPT, Copilot, or similar) in a professional workflow.
  • Highly organized and self-directed, with a track record of taking ownership of initiatives and following them through to completion.
  • Comfortable working across multiple functions and adapting to shifting priorities with a positive, can-do attitude.
  • Strong writing, editing, and communication skills.
  • Experience using Canva and Microsoft Office Suite, especially PowerPoint; Adobe Creative Suite experience a plus.
  • Experience with social media management platforms (Hootsuite, Buffer, Sprout Social, or similar) a plus.
  • CRM experience (Salesforce, HubSpot, or similar) a plus.

EDUCATION
Bachelor’s degree in business, or a related field preferred.
Equivalent professional experience in staffing, operations, or a related field will be considered.
