Administrative and Operations Support:
- Drive day‑to‑day operational rhythm for the program, ensuring alignment across engineering, mission, and contract teams.
- Synthesize technical, schedule, and resource inputs into clear recommendations for senior stakeholders.
- Monitor communications (email, mail, phone) and route inquiries appropriately to maintain operational efficiency.
- Manage the procurement of office supplies.
- Submit and manage Helpdesk Tickets on behalf of the PM/DPM and Team Members (occasionally).
Program Staffing:
- Coordinate hiring actions with HR/Recruiting and provide streamlined support to hiring managers throughout the recruitment process.
- Coordinate with subcontractors to ensure alignment on deliverables, staffing actions, and program execution needs.
- Coordinate onboarding, role alignment, and workload balancing across the SETA team.
- Ensure distribution lists and access lists are updated accordingly.
- Manage the seating plan for the primary contractor work facility.
Program & Project Management Coordination:
- Act as a trusted advisor to the Program Manager, providing candid assessments and strategic counsel.
- Serve as primary liaison between the Program Manager and internal/external stakeholders, ensuring consistent messaging.
- Assist program leadership in planning, tracking, and coordinating project activities.
- Ensure compliance with program deliverables, providing updates to leadership as needed.
Meeting and Event Coordination:
- Organize and manage leadership calendars, meetings, logistics, and team conference calls.
- Plan and execute events, conferences, and meetings, including facility selection, security arrangements, and occasionally procure meals and submit expenses on corporate card.
Document & Data Management:
- Manage communication flow, ensuring timely dissemination of priorities, decisions, and program updates.
- Prepare, edit, and distribute professional-level correspondence, presentations, and briefings.
- Collect inputs weekly from managers for the weekly activity report that is submitted to executive leadership.
- Manage and transfer sensitive information between networks, adhering to security protocols for classified and unclassified networks.
- Ensure program processes, configuration management, and documentation remain compliant and audit‑ready.
Qualifications:
Qualifications (Required):
- 8 to 10 years with BS/BA or 6 to 8 years with MS/MA or 3 to 5 years with a PhD in a STEM field.
- Must possess and be able to maintain a TS/SCI clearance with Polygraph.
- Proven ability to handle sensitive and confidential information.
- Proficiency with Microsoft Office Suite, internal corporate systems, desktop applications, and SharePoint.
- Strong project management capabilities with a proven track record of organization and multitasking in high-pressure environments.
- Maintain basic proficiency in JIRA and Confluence to support task tracking, documentation updates, and coordination across program teams.
Qualifications (Preferred):
- Strong problem-solving, conflict resolution, and negotiating skills.
- Familiarity with government contracting practices and subcontracting processes.
