Position Summary

The Business Operations Manager serves as a key member of the School of Nursing and Health Professions (SNHP) team and supports the Dean in overseeing the school's financial, operational, and administrative activities, as well as collaborates with program chairs, directors, and faculty as appropriate. This position is responsible for budget planning and monitoring, operational coordination, compliance reporting, staff supervision, and special projects that support the school's academic mission and strategic goals. The Business Operations Manager reports to the Dean, School of Nursing and Health Professions.

Job Duties

Job Duty Name SNHP Budget and Operations Description of Job Duties

  • Assist the Dean in developing and monitoring the school's annual budget.
  • Track revenues and expenditures and prepare budget reports for school leadership.
  • Review financial data and provide recommendations to support school priorities and resource needs.
  • Work with faculty principal investigators and the Office of Research and Graduate Studies to support grant budgeting and reporting requirements.
  • Monitor grant expenditures and ensure compliance with funding requirements.
  • Process invoices, budget transfers, payroll authorization forms, and position requisitions.
  • Serve as the school's liaison with Finance, Human Resources, Procurement, the Provost's Office, and other university departments.
  • Assist with financial audits and ensure compliance with university policies and procedures.
  • Prepare cost analyses and budget projections for new initiatives and programs.
  • Support efficient use of school resources and identify opportunities to improve administrative processes.

  • Coordinate operational activities that support the school's academic and administrative functions.
  • Maintain accreditation, Texas Board of Nursing, and other regulatory reports and records.
  • Assist with implementation and monitoring of the School's Total Program Evaluation Plan.
  • Prepare reports, presentations, and supporting materials for the Dean and leadership team.
  • Manage special projects and initiatives assigned by the Dean.
  • Coordinate classroom and office space utilization and serve as a liaison with Facilities and Environmental Health & Safety.
  • Maintain records related to faculty credentials, licensure, certifications, continuing education, and compliance requirements.
  • Support planning and coordination of accreditation reviews, program visits, and other reporting activities.
  • Assist with coordination of school-wide events, including endowed lectures, faculty retreats, and recognition programs.

Job Duty Name Staff Supervision Description of Job Duties

  • Supervise and support assigned staff within the school.
  • Coordinate office coverage and workflow to ensure efficient daily operations.
  • Provide training, orientation, and ongoing support to staff members.
  • Assign and monitor workloads to ensure assignments are completed accurately and on time.
  • Work closely with the Dean, program directors, and chairs to support scheduling and other operational needs.
  • Encourage collaboration, effective communication, and excellent customer service throughout the school.

Job Duty Name Support and Special Projects Description of Job Duties

  • Support the Dean by coordinating calendars, travel arrangements, meeting logistics, and follow-up activities.
  • Prepare meeting agendas, reports, and briefing materials.
  • Take meeting minutes and track action items for Dean-led committees and meetings.
  • Serve as a point of contact for internal and external constituents on matters related to school operations.
  • Perform other duties as assigned.

Qualifications

Knowledge Skills and Abilities

  • Demonstrated expertise in budgeting, financial analysis, forecasting, and business operations management.
  • Experience developing and managing annual operating budgets.
  • Advanced proficiency in Microsoft Office Excel and strong skills in Word, and Outlook.
  • Ability to prepare and present executive-level financial and operational reports.
  • Knowledge of higher education finance, budgeting practices, and administrative operations.
  • Ability to effectively support grants administration and maintain compliance oversight.
  • Strong analytical, problem-solving, and strategic planning skills.
  • Ability to lead process improvement initiatives and drive operational efficiencies.
  • Ability to learn and monitor accreditation standards, regulatory requirements, and reporting processes in higher education.
  • Strong project management and organizational skills with exceptional attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple priorities while maintaining confidentiality and professional integrity.
  • Demonstrated ability to build collaborative relationships across diverse stakeholder groups.

  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education

Bachelor's Degree.

Required Work Experience

  • Three (3) years of progressively responsible experience in business operations, financial management, budgeting, or administration to include direct experience in financial reporting, budget development, and operational planning.
  • One (1) year of experience supervising staff or leading operational initiatives in a relevant environment.

Preferred Qualifications

  • Master's Degree in Business or health related field.
  • Experience in higher education administration.

Required Certifications, Licenses or Registrations

  • Must have a valid driver's license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.
  • Valid identification with "Real Id" designation, as required for air travel.

Work Hours

Typical Monday through Friday 8:00am to 5:00pm with occasional extended hours/weekends to meet departmental needs (including travel) and/or needs of the learning community, with some weeknights and weekends.

Physical Demands

  • Ability to actively engage in events for extended periods of time.
  • Ability to regularly move about campus, event venues, and recruitment sites to actively engage potential students, as well as attend meetings on and off campus.
  • Ability to lift up to 25 lbs for table set-up/tear-down at events to include reaching overhead, bending, squatting to retrieve office/marketing/events materials.
  • Ability to push/pull event carts holding up to 25 lbs.
  • Ability to navigate airports with recruiting materials.

About Company

One of the leading comprehensive universities in Texas, the University of the Incarnate Word in San Antonio strives to educate men and women who will become concerned and enlightened citizens with values developed in a Judeo-Christian tradition. In 1881 the Sisters of Charity of the Incarnate Word founded Incarnate Word College as a center of higher education for young women. The college was admitted to membership in the Association of Colleges and Secondary Schools in 1919, and joined the Texas Association of Colleges as a senior college in 1920. The Graduate Studies division was established in 1950. Male students were first admitted into the college's undergraduate programs in 1970. Incarnate Word College became the University of the Incarnate Word in 1996. Today, UIW is a Hispanic-Serving Institution under federal guidelines.

UIW is the largest Catholic university in Texas and the fourth-largest private university in the state. The enrollment reflects the diversity of South Texas, as more than 60 percent of the students are from racial or ethnic minority groups. UIW is ranked No. 1 nationally among faith-based universities in the conferring of bachelor’s degrees to Hispanics by the Hispanic Outlook in Higher Education Magazine, and No. 6 nationally among all private, not-for-profit universities. International students comprise 14% of the student body, and they represent over 70 countries. Seventy-five percent of the students depend upon financial aid. A majority of the students are first-generation college attendees.

UIW offers 80 undergraduate and graduate fields of study, including the Ph.D. in Education and doctoral degrees in pharmacy (Pharm.D.), optometry (OD), nursing practice (DNP), physical therapy (DPT) and business administration (DBA). UIW is one of twenty universities in the U.S. with an optometry program, while the pharmacy school is the only one in Texas at a private university. In fall, 2017, the School of Osteopathic Medicine will welcome its first class of students to a new facility at Brooks City Base.

In athletics, UIW is a member of the Division 1 Southland Conference. UIW fielded its first football team in 2009, which plays in Benson Stadium, named after New Orleans Saints owner Tom Benson.

With a student-to-faculty classroom ratio of 14:1, UIW is a wireless campus that provides students with an environment that encourages excellence in academics. As part of its international efforts, UIW has agreements for reciprocal education with 123 universities in 40 countries. It also operates academic sites in Mexico City and Irapuato, Mexico, and Heidelberg, Germany.

In 2017, UIW was chosen as one of the “Great Colleges to Work For” in a national survey by The Chronicle of Higher Education, the ninth year in a row it has received this prestigious distinction.
