Assists the Purchasing Agent with the full range of tasks necessary for purchasing, quality control and inventory management. Essential duties include: contact vendors, get price quotes and recommend award of purchase to qualified vendor; inspect all deliveries of supplies, materials and equipment determining quality, quantity and conformance; maintain follow-up system to assure vendor ships by acknowledged date and bills for confirmed price; contact vendors to reconcile incorrect or inaccurate information on invoices; reviews and corrects vendor statements for office supplies and other purchasing related processes; monitors an inventory control system throughout the City; issues quarterly purchase order reports to departments; reviews and approves, or rejects, purchase requisitions using the Citys purchasing management system (Tyler Technologies-Munis); responsible for verifying accuracy of all purchasing related encumbrances; responds to Public Record Requests and attends annual training as required by RI law; process Purchasing Agents Awards to City Council, Mayor, Purchasing Agent and City Departments; emails completed awards to City Council, creates requisite files for tracking and eventually closing contracts; learns and understands City ordinances and resolutions related to Purchasing; open and distribute incoming mail; maintain Purchasing stock room; maintain office supply inventory and distribute to all departments as needed; distribute charge backs to City Departments; during absence of Purchasing Agent may be required to represent the department at various meetings and assume responsibility of Purchasing Agent as needed; speaks publicly and convincingly to public bodies; updates pricing on printing supplies for City departments; and performs other duties as may be assigned by the Purchasing Agent. Education and Experience: Such as may have been gained through a high school diploma or general education degree (GED); with five years of experience in positions responsible for purchasing, quality control and inventory control; or a substantially equivalent combination of education and experience. Knowledge of MS Word and Excel and MUNIS preferred. Special Note: All applicants will be subject to a background criminal check.
