This individual will develop and execute supply plans, manage inventory levels, and oversee purchasing and production-related planning activities in full alignment with current Good Manufacturing Practice (cGMP) regulations governed by the FDA and DEA. This role requires close collaboration with suppliers, manufacturing, quality assurance, and operations leadership to maintain supply continuity, minimize risk, and drive continuous improvement across the supply chain.

Key Responsibilities

Procurement & Purchasing

  • Execute purchase orders for raw materials, APIs, excipients, packaging, and indirect supplies in support of production schedules and inventory targets
  • Manage supplier relationships, negotiate pricing, lead times, and terms to ensure cost-effectiveness and supply reliability
  • Evaluate and qualify new suppliers in partnership with Quality Assurance to meet cGMP and regulatory standards
  • Monitor open purchase orders and proactively address delays, discrepancies, or supply disruptions
  • Maintain accurate vendor master data and purchasing records within the ERP/MRP system

Supply Planning & Inventory Management

  • Develop and maintain supply plans aligned with production schedules, demand forecasts, and safety stock requirements
  • Monitor and manage inventory levels to prevent stockouts, overstock situations, and material expiration
  • Analyze consumption trends and lead times to continuously optimize reorder points and purchase quantities
  • Conduct regular cycle counts, reconcile discrepancies, and ensure inventory accuracy within the ERP system
  • Support new product launches and product line changes by coordinating material availability timelines

Production Planning Support

  • Collaborate with manufacturing and operations teams to align material availability with production scheduling needs
  • Participate in S&OP (Sales & Operations Planning) processes to ensure supply plans reflect business priorities
  • Identify and communicate supply constraints or risks that may impact manufacturing readiness
  • Assist in capacity planning efforts by providing supply chain input to production scheduling teams

Compliance & Quality

  • Ensure all procurement and planning activities comply with FDA, DEA, and cGMP regulations applicable to pharmaceutical compounding
  • Maintain complete and accurate documentation for all purchasing transactions in accordance with regulatory and audit requirements
  • Partner with Quality Assurance to support supplier qualification, incoming material inspection, and deviation resolution
  • Participate in internal and external audits, providing supply chain documentation and supporting evidence as required

Cross-Functional Collaboration & Reporting

  • Serve as the primary supply chain point of contact between suppliers, manufacturing, quality, and finance
  • Generate and present supply chain performance metrics including on-time delivery, inventory turns, fill rates, and cost savings
  • Identify opportunities to improve supply chain processes, reduce costs, and enhance efficiency
  • Support the implementation of ERP/MRP system enhancements and data integrity initiatives

Required Qualifications

  • Bachelor's degree in Supply Chain Management, Business Administration, Operations Management, or a related field
  • 3+ years of experience in purchasing, procurement, supply planning, or a combined buyer/planner role
  • Experience in pharmaceutical compounding, specialty pharmacy, or a FDA-regulated manufacturing environment (pharmaceutical, nutraceutical, biotech, food & beverage, or medical device)
  • Working knowledge of cGMP regulations and FDA/DEA compliance requirements applicable to manufacturing operations
  • Proficiency with ERP or MRP systems (SAP, Oracle, NetSuite, or similar)
  • Strong analytical skills with the ability to interpret data, identify trends, and make sound procurement decisions
  • Excellent communication and cross-functional collaboration skills
  • High attention to detail with strong organizational and time-management abilities

Preferred Qualifications

  • APICS CPIM or CSCP certification, or equivalent supply chain credential
  • Experience managing controlled substance procurement and DEA compliance requirements
  • Familiarity with lean manufacturing, Six Sigma, or continuous improvement methodologies

Work Environment & Physical Requirements

  • Primarily in a professional office setting within a pharmaceutical compounding and manufacturing facility
  • Regular interaction with manufacturing floor personnel, quality assurance teams, and external suppliers
  • May occasionally require presence in warehouse or production areas where cGMP protocols, personal protective equipment (PPE), and safety guidelines must be observed
  • Fast-paced, deadline-driven, and requires the ability to manage shifting priorities with a high degree of accuracy and professionalism
  • Ability to remain in a stationary position for extended periods while working at a computer workstation
  • Occasional movement throughout the facility, including manufacturing, warehouse, and receiving areas
