The Heartland Roadshow, established in 2009, is a premier buyer of estate jewelry, precious metals, gold and silver coins, and collectibles. If you’ve ever seen “Antiques Roadshow”, this is similar to what we do. We set up boutique “buying events” at various hotel locations throughout the region, where folks come to sell us their estate items — primarily gold, silver, coins, and watches.
The Buyer Scheduling Coordinator supports core buyer scheduling operations and plays a key role in ensuring scheduling workflows run accurately and efficiently across the organization. This role is highly coordination-focused and requires strong organization, follow-through, and communication skills in a fast-paced operational environment.
This role is also designed with growth and flexibility in mind. While the initial focus will center on buyer scheduling support, the position may evolve into expanded scheduling responsibilities or transition into a Booking Coordinator role within a related department based on business needs and operational growth.
Schedule buyers and manage daily scheduling workflows
Coordinate scheduling updates, changes, adjustments, and confirmations
Support communication related to buyer schedules and operational coordination
Ensure accuracy, timeliness, and consistency across scheduling systems and processes
Maintain organized tracking and scheduling documentation
Assist with operational support tasks during ramp-up and growth phases
Coordinate across departments to support scheduling efficiency and coverage needs
Help identify scheduling conflicts, gaps, or operational risks and escalate as needed
Adapt to evolving scheduling and coordination responsibilities as business needs grow
Support additional scheduling, booking, or operational coordination tasks as needed
Strong organizational skills and attention to detail
Strong proficiency in Excel and Google Sheets
Excellent follow-through and time management
Ability to manage multiple moving pieces in a fast-paced environment
Strong written and verbal communication skills
Comfortable coordinating schedules, updates, and operational changes
Ability to problem-solve and adapt quickly to shifting priorities
Detail-oriented with a strong accuracy mindset
Comfortable working independently while coordinating across teams
Professional and responsive communication style
Strong administrative and operational support capabilities
Experience with:
Scheduling, coordination, or operational support roles
Experience working within operational platforms such as When I Work or similar systems.
Calendar management or workforce scheduling
High-volume administrative environments
Cross-functional communication and coordination
Logistics, booking, or staffing operations
