Position Summary
Campus Ministry at the College of Saint Benedict invites applications for a part-time (0.48 FTE) position of Office Coordinator.
The Office Coordinator supports the daily operations and administrative functions of Campus Ministry at the College of Saint Benedict. This position plays an essential role in creating a welcoming and efficient office environment while supporting staff, student leaders, and the broader campus community.
Rooted in the Catholic Benedictine tradition, the Office Coordinator helps sustain the spiritual and ministerial life of Campus Ministry through administrative leadership, communication, event coordination, and operational support. The coordinator also works closely with Student Campus Ministers and student employees to foster collaboration, hospitality, and effective ministry programming.

The posted wage represents CSB and SJUs good faith estimate of likely compensation at the time of posting. Actual pay will be dependent upon several factors, including the candidates experience, qualifications, and skills, and may fall outside of the range indicated.
Responsibilities
Office Administration and Operations
- Provide primary office coverage during scheduled work hours and serve as the first point of contact for students and guests.
- Support department staff with administrative and operational tasks.
- Assist students, staff, and visitors with use of office resources and equipment.
- Develop and manage student employee work schedules and monitor attendance.
- Coordinate administrative support for Campus Ministry programs, retreats, meetings, and events.
- Prepare agendas, record minutes, and distribute notes for weekly staff meetings.
- Manage Campus Ministry and Outlook calendars for department and ministry teams
- Oversee incoming and outgoing mail, deliveries, and office supply inventory.
- Coordinate office organization and upkeep with student employees.
- Maintain departmental archives, records, and statistical data.
- Coordinate monthly all-team meetings and occasional off-site retreats.
Financial Administration
- Track departmental budgets and complete monthly reconciliations, as appropriate.
- Serve as departmental purchasing coordinator with required approvals.
- Process payments, reimbursements, and deposits while maintaining accurate financial records.
- Ensure secure and organized handling of departmental financial materials.
Communications and Technology
- Manage and update Campus Ministry digital platforms, including webpages, social media, shared drives, email accounts, and electronic bulletins. Coordinate the creation and distribution of departmental communications and publications, including brochures, newsletters, and event materials.
- Provide proofreading and editing support for staff and Student Campus Ministers.
- Maintain regular communication with Campus Ministry partners and collaborators.
Collaboration and Support
- Meet regularly with the Director of Campus Ministry to review priorities and departmental needs.
- Attend weekly staff meetings and individual supervisory meetings.
- Collaborate with Campus Ministry staff, student leaders, and campus partners to support departmental initiatives and goals.
- Foster a welcoming, hospitable, and organized office environment rooted in Benedictine values.
- Perform other tasks as assigned by the Director of Campus Ministry.
Qualifications
Minimum qualifications:
- High school diploma or GED required; associate's or bachelor's degree preferred.
- Two to three years of administrative or office experience preferred.
- Experience working with college students or in a higher education setting preferred.
- Experience with Canva, social media platforms, and database or forms management systems preferred.
- Proficiency with Microsoft Office Suite.
- Strong organizational, administrative, and time-management skills.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to maintain professionalism, discretion, and confidentiality.
- Strong attention to detail and ability to manage multiple priorities effectively.
- Dependable, self-motivated, and collaborative in team settings.
- Comfortable engaging in conversations related to faith, spirituality, and student development.
- Appreciation for the Catholic Benedictine values and mission of the College of Saint Benedict and Saint Johns University.

Physical requirements:
- Requires working at a computer for extended periods, including typing, reading from a screen, and using various software programs essential for the role
- Occasionally required to lift or move items up to 25 pounds
Travel requirements:
- Limited travel between the campuses of the College of Saint Benedict and Saint John's University
