Position Summary The Campus Operations and Logistics Manager is responsible for the coordination, scheduling, and execution of all campus operational logistics. This role ensures that facilities, events, and daily School functions run smoothly through effective use of E-Space (or similar platform). The Manager serves as a central hub connecting academic programs, athletics, facilities, and external partners, ensuring that campus resources are stewarded responsibly and aligned with the School’s mission.

Key Responsibilities

1. Scheduling and E-Space Management

  • Serve as the primary administrator of E-Space (or similar platform).
  • Manage the master campus calendar, including academic, co-curricular, athletic, and external events.
  • Coordinate space reservations, ensuring efficient and mission-aligned use of facilities.
  • Coordinate assignments of School vehicles, ensuring efficient use and sustainability.
  • Train faculty and staff on proper use of the system and establish clear protocols.
  • Maintain data integrity, reporting, and system optimization.

2. Event Logistics Coordination

  • Oversee logistical execution for all on-campus events (assemblies, performances, athletics, admissions events, School functions).
  • Coordinate setup/teardown needs, including furniture, AV, custodial services, and security.
  • Collaborate with division heads, advancement, athletics, and parent or parish representatives (when needed).
  • Develop standardized event planning workflows and checklists.

3. Facilities Coordination

  • Work closely with the Facilities team to align scheduling with maintenance, repairs, and long-term planning.
  • Ensure spaces are prepared and compliant with safety and operational standards.
  • Help prioritize facilities usage based on institutional needs.

4. Safety and Compliance

  • Partner with campus safety and security personnel to ensure events and daily operations meet safety protocols.
  • Support emergency planning and campus readiness efforts.
  • Ensure appropriate documentation for external vendors and facility use.

5. Communication and Collaboration

  • Serve as a key liaison among faculty, staff, athletics, advancement, and parent representatives.
  • Communicate clearly and proactively about scheduling changes and campus impacts.
  • Support a culture of shared responsibility and transparency around campus use.

6. Strategic Operations Support

  • Manage the school wide event budget.
  • Analyze space utilization and recommend improvements.
  • Contribute to long-range campus planning and operational efficiency initiatives.
  • Support budgeting related to events, logistics, and system tools.

Qualifications

  • Bachelor’s degree or equivalent experience in logistics, operations, facilities management, or related field.
  • Experience with scheduling or facilities management software (E-Space strongly preferred).
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities in a dynamic school environment.

 

Physical Requirements

  • Ability to lift approximately 30 lbs.
  • Ability to work for extended periods of time, including weeknights and weekends when required.
  • Ability to work with children and adults in indoor and outdoor settings.
  • Ability to work in on-campus or at home
